Job summary

The Hotchkiss School seeks an Associate Director of Alumni Engagement to lead and support events and programs engaging alumni and constituents. You will collaborate across the Alumni Engagement team and with on-campus colleagues, providing leadership, administrative, and program support with a focus on detail and problem-solving.

Qualifications

• Bachelor’s degree or equivalent combination of education and work experience.
• Strong customer service, organizational, and detail-oriented skills.
• Ability to manage multiple tasks and projects.
• Experience leading events and managing customer service aspects.
• Proficiency with Microsoft Office, Google Suite, scheduling software, and database management; Raiser's Edge a plus.
• Demonstrated ability to administer databases, adopt new technologies, run reports, and maintain data integrity.
• Team player with strong communication, independent decision-making, and prioritization skills.
• Maintain strict confidentiality of information.

Responsibilities

• Lead and support events and programs engaging alumni and constituents.
• Collaborate with Directors and team to plan materials and maintain supplies.
• Produce nametags, packets, nameplates, and registration lists.
• Serve as primary contact for external inquiries about events and programs.
• Manage event records in Raiser's Edge and disseminate registrant data.
• Maintain back-end website calendar postings for externally facing events.
• Coordinate mailings for invitations and gifts to volunteers and families.
• Document interactions with constituents in Raiser's Edge and request data exports for reporting.
• Ensure data integrity through regular audits and accurate data entry.
• Perform additional duties as needed.
