Essential Duties and Responsibilities:

The Alumni Coordinator & Community Outreach Specialist plays a key role in supporting clients after treatment while strengthening the organization's presence throughout the recovery community. This position is responsible for maintaining meaningful relationships with alumni, coordinating alumni programming and events, developing partnerships with community organizations and referral sources, and serving as a positive ambassador for the organization. This individual works closely with Admissions, Clinical, Business Development, and Marketing teams to improve alumni engagement, support long-term recovery, increase community awareness, and contribute to future referral opportunities.

  • Maintain consistent communication with alumni through phone calls, text messages, emails, and digital platforms.
  • Complete approximately 40 outbound alumni contacts daily to provide support, recovery check-ins, and resource referrals.
  • Plan, coordinate, and facilitate monthly alumni events, both in-person and virtual.
  • Host monthly virtual alumni meetings.
  • Develop and distribute weekly alumni newsletters and communications highlighting recovery resources, upcoming events, and organizational updates.
  • Gather discharge and exit surveys from graduating clients.
  • Support alumni during their transition from treatment and connect them with community recovery resources.
  • Encourage ongoing alumni participation through volunteer opportunities, mentorship, advocacy, and recovery activities.
  • Respond promptly to alumni questions, concerns, and requests for support.
  • Continuously evaluate alumni programming and engagement strategies to maximize participation and long-term recovery success.
  • Build and maintain relationships with treatment providers, detox programs, sober living homes, hospitals, recovery organizations, community coalitions, and other referral partners.
  • Conduct regular face-to-face outreach visits throughout the community.
  • Attend networking events, recovery meetings, conferences, health fairs, and community events as an ambassador of the organization.
  • Promote alumni programming and organizational services throughout the community.
  • Identify opportunities to expand community partnerships and referral relationships.
  • Gather market intelligence regarding industry trends, competitor activity, and community needs.
  • Provide leadership with recommendations for improving outreach efforts and partnership development.
  • Work collaboratively with Admissions, Clinical, Marketing, and Business Development teams to ensure seamless communication and continuity of care.
  • Assist with admissions follow-up and transition support as needed.
  • Coordinate alumni testimonials, recovery stories, speaking opportunities, and marketing initiatives.
  • Support family members and referral sources by providing information, resources, and assistance during the admissions process when appropriate.
  • Serve as a resource and advocate for organizational initiatives across departments.
  • Document all alumni contacts, outreach activities, and follow-up communication in Salesforce or the organization's CRM system.
  • Maintain accurate records of community partnerships, alumni engagement, and event participation.
  • Prepare weekly reports summarizing outreach activity, alumni engagement metrics, event outcomes, and partnership development.
  • Maintain confidentiality and compliance with HIPAA, 42 CFR Part 2, and all organizational policies.
  • Coordinate and attend evenings or weekend alumni events as needed.
  • Assist with special projects and organizational initiatives.
  • Support continuous quality improvement efforts within the Alumni Department.
  • Perform other duties as assigned.
Education and/or Work Experience Requirements/Certifications:
  • High School Diploma or GED required.
  • Associate's or Bachelor's degree in Human Services, Behavioral Health, Marketing, Communications, or a related field preferred.
  • Experience in behavioral health, substance use disorder treatment, alumni services, community outreach, peer support, admissions, or business development preferred.
  • Experience planning events and building community relationships is highly desirable.

  • Knowledge of substance use disorders, recovery principles, and community resources preferred.
  • Working knowledge of HIPAA and 42 CFR Part 2 confidentiality regulations.
  • Ability to interact effectively with clients, families, referral partners, and multidisciplinary treatment teams.
Physical and Mental Demands:
  • Frequently sit, stand, walk, bend, reach, and move throughout the facility and community.
  • Regularly use a computer, keyboard, telephone, and other standard office equipment.
  • Drive to community meetings, outreach visits, and alumni events as required.
  • Occasionally lift, carry, push, or pull items weighing up to 25 pounds.
  • Ability to travel locally and occasionally work evenings or weekends for alumni events and community activities.
  • Maintain concentration while managing multiple tasks, deadlines, and priorities.
  • Exercise sound judgment, discretion, and problem-solving skills in a fast-paced environment.
  • Communicate professionally and effectively with alumni, families, referral partners, community organizations, and multidisciplinary team members.
  • Handle sensitive and confidential information in accordance with HIPAA and 42 CFR Part 2 regulations.
  • Demonstrate emotional resilience, professionalism, and the ability to respond calmly and effectively during stressful or emotionally challenging situations.
  • Maintain strong organizational skills, attention to detail, and the ability to work independently while collaborating with multiple departments.
Environmental Conditions / Population Served:
  • Works with adult men and women (18 years and older) receiving treatment for substance use disorders and co-occurring mental health conditions.
  • This position is primarily based in an office environment with frequent travel throughout the community for outreach visits, meetings, networking events, and alumni activities.
  • Occasional evening and weekend work is required to support alumni events and community engagement.
