Qualifications

  • High school diploma required. Some college preferred.
  • At least three (3) years of administrative support experience preferred.
  • Experience planning or managing events in a university or large nonprofit setting strongly preferred.
  • Requires initiative, strong interpersonal and analytical skills, attention to detail and a customer service orientation.
  • Proficiency with standard PC applications including Microsoft Word, Excel, Publisher and PowerPoint.
  • Strong organizational, writing skills, and the ability to manage competing priorities.

Responsibilities

  • Provide exceptional internal and external customer service to alumni, students, volunteers, donors, faculty, administration, staff and vendors.
  • Respond to inquiries with good judgment, discretion, and professional courtesy; facilitate warm handoffs to stakeholders.
  • Provide data management and reporting support, track and manage unit budgets, and enter data into the alumni database accurately.
  • Manage registrations for events and assist in preparing event collateral such as nametags and attendee lists.
  • Support and anticipate the needs of a fast-paced, interdependent team and perform other duties as assigned.

Job Description:

As a member of the Stewardship and Alumni Engagement sub-team theincumbent will provide administrative support, including but notlimited to, calendar and meeting scheduling, coordination of travellogistics, and fiscal reconciling expenses. This position willreport to the Director of Alumni Engagement and Stewardship.

Responsibilities:
  • The prevailing candidate will provide exceptional internal andexternal customer service to key constituents of the Division ofInstitutional Advancement, including Bowie State University alumni,students, volunteers, donors, faculty, administration, staff andvendors.
  • The Administrative Assistant is a public-facing position thatresponds to inquiries with good judgment, discretion, andprofessional courtesy, facilitating warm handoffs to theappropriate stakeholders when necessary.
  • The administrative assistant will also provide data managementand reporting support, assist in the tracking and management ofunit and project budgets, and provide accurate data entry into thealumni database to maintain and update alumni and donorrecords.
  • Manage registrations for events and assist the Sr. Directorprepare of event collateral such as nametags, attendee lists,briefing materials, etc.
  • S upport and anticipate the needs of a fast paced,interdependent team, performing other duties as assigned
Minimum Qualifications:
  • High school diploma required. Some college preferred.
  • At least three (3) years of demonstrated experience in anadministrative support role preferred.
  • Experience planning or managing events in a university or largenonprofit setting is strongly preferred.
  • Requires initiative, strong interpersonal and analyticalskills, attention to detail and a customer serviceorientation.
  • The work environment includes working with diverse populationsincluding, but not limited to, volunteers, students, seniorexecutives and the public is a key success factor.
  • Required technical proficiency includes standard PCapplications including Microsoft Word, Excel, Publisher andPowerPoint.
  • Strong organizational, writing skills, and the ability tomanage competing priorities.
