Responsibilities

• Handle day-to-day air freight import operations.
• Manage shipments from pre-alert through customs clearance and final delivery.
• Review shipment pre-alerts and ensure documentation is complete.
• Follow up with overseas agents and suppliers for missing or incomplete documentation.
• Coordinate customs clearance, airline collections, haulage, and final delivery arrangements.
• Communicate with customers by phone and email regarding shipment status and inquiries.
• Liaise with airlines, overseas agents, customs brokers, hauliers, and other suppliers.
• Prepare and check shipping and customs documentation as required.
• Provide quotations to customers and partner agents.
• Proactively monitor shipments and provide regular updates throughout the lifecycle.
• Take ownership of service issues, exceptions, and delays.
• Maintain accurate shipment and customer records in the TMS.
• Build strong relationships with customers, suppliers, and international partners.
• Provide high-level customer service and represent the business professionally.

Job Overview

We are looking for an experienced Air Freight Coordinator to support day-to-day air freight import operations for a UK-based freight forwarding business.

The role is customer-facing and supplier-facing, with responsibility for managing shipments from pre-alert through customs clearance and final delivery. The successful candidate will communicate directly with customers, airlines, overseas agents, customs brokers, and hauliers while proactively managing shipment updates, exceptions, and delays.

The ideal candidate has genuine freight forwarding experience, strong communication skills, and the ability to independently manage air freight import shipments from start to finish.

Job Details

• Work set up:Work-from-Home
• Schedule:Monday to Friday | 8:30 AM to 5:30 PM UK Time | 3:30 PM to 12:30 AM Manila Time
• Holiday:Will follow UK holidays

• Proactively monitor shipments and provide regular customer updates throughout the shipment lifecycle.
• Take ownership of service issues, exceptions, and delays and resolve them where possible.
• Maintain accurate shipment and customer records within the transport management system.
• Build strong working relationships with customers, suppliers, and international partners.
• Provide a high level of customer service and represent the business professionally at all times.

Qualifications

• Minimum 4 years of experience in air freight forwarding operations.
• Must have genuine experience working within a freight forwarding company.
• Strong experience in air freight imports and managing shipments from start to finish.
• Solid understanding of air freight operations, including airline routings, shipping documentation, customs processes, and delivery coordination.
• Excellent written and spoken English, with the confidence to communicate directly with customers and suppliers by phone and email.
• Strong customer service, communication, organizational, and problem-solving skills.
• Ability to work independently, take ownership, and make sound operational decisions.
• Ability to manage exceptions, delays, and competing priorities in a fast-paced environment.
• Strong computer literacy and ability to learn new systems quickly.
• Ability to work under pressure and meet tight deadlines.
• CargoWise experience is strongly preferred and will be a significant advantage.
• Experience supporting UK freight forwarding operations or UK customers is preferred.
• Experience managing the full freight forwarding process, rather than only one part of the shipment lifecycle, is highly preferred.
