Job summary

Trofholz Technologies is seeking a highly organized, AI-forward operations partner to coordinate executive operations, business development, marketing, and proposal activity across its portfolio. You will leverage Claude and other AI tools daily to accelerate drafting, analysis, and workflow improvements, while maintaining strong judgment and discretion.

The role requires experience in executive support, project coordination, and the ability to learn proposal processes quickly.

Qualifications

• Bachelor’s or associate degree in business, communications, or related field or equivalent experience.
• 2+ years of experience in executive assistance, proposal coordination, business development support, or related role.
• Advanced use of Claude and AI for drafting, analysis, prompt development, and workflow improvement.
• Ability to evaluate and refine AI-generated work for accuracy, tone, confidentiality, and business context.
• Proficiency in Microsoft 365 including SharePoint, Teams, Word, Outlook, and Excel.

Responsibilities

• Manage calendar, inbox, communications, travel, meeting prep, and follow-through for Yvonne across all businesses.
• Communicate on Yvonne's behalf with employees, clients, partners, and vendors with professionalism.
• Capture decisions and commitments and convert them into action items with owners, deadlines, and follow-up.
• Coordinate between Yvonne and execution teams; track open commitments through completion.
• Use Claude and AI tools daily to draft, analyze, summarize, and create repeatable prompts.
• Turn AI conversations into organized workstreams and drive them to completion.
• Identify and improve AI-assisted workflows while reviewing outputs for accuracy and confidentiality.
• Document processes and systems to support consistency and scale.
