Confidential, a privately held real estate management company in New Jersey, is seeking an AI, Operations & Business Systems Specialist to optimize how teams use technology across property management, leasing, maintenance, accounting, and internal operations.

The role blends business systems administration, workflow automation, and practical AI, requiring hands-on implementation, documentation, and training, with close collaboration with executives and operations teams.

Qualifications

• Hands-on experience administering business systems and automated workflows used daily across operations.
• Experience connecting systems via APIs and integrations for reporting.
• Experience building and explaining AI-assisted solutions addressing business problems.
• Experience managing user access and onboarding/offboarding processes.
• Strong spreadsheet, data management, and reporting skills.
• Process-first approach with attention to exceptions and dependencies before implementing solutions.
• Ability to document workflows clearly for others to operate and maintain.
• Strong technical aptitude and ability to learn unfamiliar platforms independently.
• Excellent communication with executives, property managers, maintenance and accounting teams.

Responsibilities

• Administer and optimize AppFolio and other software across property management, leasing, training, communications, and document management.
• Build and maintain automated workflows that streamline repetitive tasks, approvals, notifications, reporting, and follow-up across departments.
• Evaluate system integrations via APIs, integrations, and native automation to exchange information.
• Centralize onboarding, role changes, and offboarding, including access provisioning and revocation.
• Manage user accounts, permissions, system configurations, and vendor support requests.
• Apply AI tools to improve document processing, internal communications, reporting, and access to information.
• Build dashboards and reports to help leadership track outstanding work and performance.
• Independently manage projects from requirements to testing, implementation, and maintenance.
• Troubleshoot system/workflow issues with vendors or consultants as needed.
• Document configurations/workflows and train employees on use.
• Ensure automations have owners, backups, and central registry entries.
