The Maercks Institute is an aesthetic surgical practice dedicated to exceptional patient care and outcomes. We’re looking for a warm, organized, bilingual Front Desk Coordinator to join our reception team. You’ll work alongside our receptionist to deliver a polished, concierge-level experience from the moment patients walk through the door.
What You’ll Do
- Greet patients warmly and professionally, confirm their appointment, and escort them to the correct room
- Offer patients water, tea, or coffee and help prepare beverage trays to practice standards
- Notify the team when a patient arrives, so patients are never left waiting or unsure of the next step
- Answer and route incoming calls: direct clinical questions to our medical assistants or Clinical Operations, and direct procedure, pricing, or financing questions to our Patient Consultants and Sales Team
- Confirm post-operative and follow-up appointments and keep appointment information accurate in our practice system
- Keep the reception area and patient-facing rooms clean, organized, and stocked
- Escalate patient complaints, incidents, or unusual situations to management right away
- Follow HIPAA and patient privacy requirements, and report any privacy concern to management right away
Daily Priorities
- Stay on top of the day’s schedule, including virtual appointments and upcoming visits
- Check in with post-op patients and reach out to patients to confirm upcoming appointments
- Keep the front office stocked, tidy, and ready for patients
- Share and organize content with our team as needed
- Keep patient records and appointment notes accurate and up to date before visits begin
What We’re Looking For
- Bilingual in English and Spanish (required), with the ability to communicate clearly and professionally with patients in both languages
- A proactive team player who anticipates needs and takes initiative rather than waiting to be asked
- Front desk, hospitality, or patient-facing experience, ideally in a medical, aesthetic, or other regulated setting
- A warm, polished presence and a clear, professional communicator who works well with patients, physicians, and clinical staff
- Excellent organization, follow-through, and time management
- Responsive and detail-oriented with calls, messages, and scheduling
- Discretion, strong judgment, and a firm commitment to HIPAA and patient confidentiality
Nice to Have
- Experience with practice management or EMR software (Symplast a plus)
- Experience in a surgical or medical aesthetics practice
Why Join Us
You’ll be a key part of a close-knit team, working directly with practice leadership and welcoming our patients.
Compensation & Schedule
Details on hours and compensation will be discussed during the interview process.
