Sandy Spring Friends School (SSFS) seeks a highly organized, detail-oriented Advancement Services Coordinator to support the operational foundation of the School’s fundraising and engagement programs. This position is responsible for gift processing, database management, financial reconciliation, reporting and analysis, stewardship operations, prospect research, regulatory compliance, and data integrity. The Advancement Services Coordinator works with colleagues in Advancement, the Business Office, Technology, Admissions, and other departments to ensure that constituent and philanthropic records are accurate, secure, timely, and useful. The coordinator also supports annual reporting—including DASL reporting—and helps create efficient systems that strengthen donor relationships and inform data-driven decision-making. The successful candidate will combine strong technical and analytical skills with a service-oriented approach to donors and colleagues. Significant experience using Veracross and GiveCampus is strongly preferred.
Process and record charitable gifts, pledges, grants, event revenue, and other philanthropic contributions, ensuring accuracy, compliance, and timely donor acknowledgments.
Maintain gift records, monitor outstanding pledges and recurring gifts, and support donor stewardship.
Serve as the primary administrator of the Advancement database (Veracross), ensuring data integrity through audits, standards, imports/exports, and constituent record management.
Develop efficient workflows and collaborate with departments to maintain accurate and secure constituent information.
Reconcile fundraising revenue with the Business Office, prepare gift and financial reports, and maintain accurate audit documentation.
Ensure compliance with School policies, donor restrictions, IRS regulations, and fundraising best practices.
Create reports, dashboards, and analyses to support fundraising, campaign management, donor engagement, and institutional decision-making.
Coordinate DASL and other required reporting and benchmarking activities.
Support donor recognition, stewardship communications, and prospect research to strengthen donor engagement and fundraising efforts.
Provide data support for fundraising appeals, events, and portfolio management.
Respond to donor inquiries, support Advancement staff with training and administrative projects, and collaborate across the School to advance fundraising goals.
Perform other duties as assigned consistent with the responsibilities of the position.
Bachelor's degree or an equivalent combination of education and experience, with at least two years of experience in advancement services, development operations, database administration, nonprofit finance, or a related field.
Proficiency with relational databases, reporting tools, spreadsheets, and data management practices, with strong analytical skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Excellent written, interpersonal, problem-solving, and communication skills, with demonstrated discretion in handling confidential financial, donor, and constituent information and the ability to collaborate effectively across departments.
Strongly preferred: Significant experience with Veracross, DASL Advancement reporting or comparable institutional surveys, and knowledge of CASE reporting standards, IRS charitable giving requirements, and fundraising data best practices.
Salary: $60,000 - $65,000 yearly
