Job summary

Riverview School on Cape Cod seeks an Advancement Operations Coordinator to handle gifts processing, donor records, and daily Advancement office operations. You’ll interact with donors and families with professionalism, supporting special events and ensuring timely receipts and reports.

Qualifications

  • Detail-oriented with strong logistical and organizational skills.
  • Ability to manage multiple deadlines while maintaining a warm, personal touch with donors, families, and the school community.
  • Flexibility to work some evenings and weekends around major events.
  • Genuine enthusiasm for Riverview’s students and mission.
  • Event support experience is a plus.

Responsibilities

  • Process gifts—including checks, online gifts, stock, matching gifts, and auction payments—and produce donor acknowledgement letters and tax receipts in a timely manner.
  • Maintain the donor database so that it remains clean, accurate, and trustworthy; reconcile gift records with the Business Office and pull reports that support the team’s strategic decision‑making.
  • Serve as the primary point of contact for Advancement systems, tools, and shared calendars; assist with budget tracking; manage the logistics behind mailings and fundraising appeals.
  • Identify process inefficiencies and work collaboratively with the team to improve them.
  • Provide administrative support to Family Education & Support programming.
  • Manage guest lists, invitations, RSVPs, and registrations for events such as Opening Weekend, Fall Family Weekend, Transition Weekend conference, Regional Receptions, and the Annual Fundraising Gala.
  • Support the Gala auction from item intake through night‑of checkout and payment processing, build event timelines, coordinate vendors and volunteers, and serve as a calm, can‑do presence on event days.
  • Complete event follow‑through, including collecting payments, reconciling revenue, and ensuring donors are thanked.
  • Perform other duties as assigned by the Director of Advancement in support of the department’s goals.

Overview

Riverview School is a supportive, mission-driven co‑educational independent school on Cape Cod serving students with complex language and learning differences. The Advancement team is responsible for the development and stewardship of philanthropic support, family support programming, and the management and execution of the school's annual special events.

Position Summary

The Advancement Operations Coordinator is responsible for gifts management, database maintenance and reporting, and the management of daily operations of the Advancement office. This role maintains timely record‑keeping and processing of all gifts and provides direct support to the school's special events team. The Coordinator is forward‑facing and regularly engages with donors and families, requiring a high degree of professionalism, discretion, and attention to detail.

Salary

$26 per hour (DOE).

Reporting & Supervision

The position has no direct supervisory responsibility. The Coordinator reports directly to the Director of Advancement.

Work Environment & Physical Demands

Primarily an office environment with regular use of a computer, telephone, and standard office equipment. Occasional lifting of event materials and supplies up to 25 lbs. Ability to stand, walk, and remain on your feet for extended periods during on‑campus events. Some evening and weekend work required in connection with Advancement events. Minimal local travel may be required for event‑related errands.

Job Requirements

At least two years of relevant experience (preferred). High School / Trade School degree (preferred). Citizenship, residency, or work visa required.
