Job summary

AIM seeks an Advancement Data and Systems Manager to oversee Virtuous and related systems, ensuring data accuracy and actionable insights for campaigns, events, and reporting. You will train staff, support leadership, and maintain secure donor records to drive organizational decisions.

Reporting to the Advancement Operations Manager, you’ll build leadership reports, manage data strategy, and coordinate with IT on change management. Strong CRM experience in a nonprofit setting is essential.

Qualifications

  • Bachelor's degree in a related field or equivalent combination of education and experience.
  • 3-5 years of experience managing a CRM or donor database, ideally in a nonprofit or fundraising environment
  • Experience with Virtuous or a comparable CRM (Salesforce, Raiser's Edge, Bloomerang, Neon CRM) strongly preferred
  • Ability to translate data into clear, actionable insights for non-technical stakeholders (Advancement leadership, Officers, Board)
  • Strong training and documentation skills, with the ability to explain technical concepts to non-technical users
  • Track record of being a responsive, approachable resource across departments (Advancement, Marketing, Finance)
  • Ability to manage competing requests and prioritize a fluctuating workload independently

Job description

JOB PURPOSE

The Advancement Data and Systems Manager serves as a trusted, approachable resource for the Advancement team, ensuring AIM's CRM database remains accurate, nimble, and equipped to support campaign, event, and reporting needs. This role carries both a strategic view of the database and hands-on responsibility for its day to day accuracy, training, and support. Reporting to the Advancement Operations Manager, the Advancement Data and Systems Manager brings a solutions-oriented, team-first approach to keeping AIM's data dynamic and usable across the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES
I.E. THOSE WHICH ARE BASIC, NECESSARY, AND AN INTEGRAL PART OF THE JOB
ADMINISTRATION
  • Serve as the organization's database expert for Virtuous and its connected systems
  • Maintain database security, structure, and performance, including user access controls
  • Oversee data entry standards, data accuracy, and ongoing data clean up
  • Manage confidential donor records and uphold data treatment standards
  • Build and maintain reports and queries (ongoing and ad hoc) to support Advancement, Marketing, leadership, and the Board
  • Manage fundraising tracking and reconciliation, including Officer projections and coordination with Finance
COMMUNICATION AND SUPPORT
  • Act as the primary point of contact for Virtuous and connected systems across the organization
  • Train and onboard staff on database use and best practices, and maintain reference documentation
  • Communicate donor care tasks to the Advancement team based on gift activity
  • Partner with the Advancement Operations Manager and team on ongoing projects and priorities
BUSINESS ANALYSIS
  • Own and evolve the database's overall data strategy and architecture, including for campaigns and segmentation
  • Produce and maintain leadership and Board-facing reports, identify data gaps, trends, and improvement opportunities, and lead the change management and training needed to act on them.
  • Partner with Advancement Leadership Team(ALT) on data-informed strategy for campaigns and stewardship
  • Partner with IT on change management processes, including system updates, policy changes, and integrations.
  • Additional duties as assigned.
ANTICIPATED TRAVEL REQUIREMENTS

Minimal anticipated travel, some travel possible based on team connection events.
