Summary
The Advanced Level Medical Support Assistant (MSA) position serves as a clinic clerk and is a foundational role within Tennessee Valley Healthcare System (TVHS).

Duties

This is an OPEN CONTINUOUS ANNOUNCEMENT and will remain open until September 30, 2025. The initial cut-off date for referral of eligible applications will be May 1, 2025. Eligible applications received after that date will be referred at regular intervals or as additional vacancies occur on an as-needed basis until positions are filled.

Duties Include But Not Limited To

  • Works collaboratively in an interdisciplinary coordinated care delivery environment (i.e., patient aligned care team, or other specialty care).
  • Coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilization Statistical Summary).
  • Ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments.
  • Develop/maintain effective and efficient communication with the patient, interdisciplinary team, management team, VA medical centers, and other agencies.
  • Collect, scan, and update health insurance information, promote Veteran registration and utilization of My Healthy Vet (MHV).
  • Train other MSAs on correct clinic operations and serve as a preceptor to developmental level MSAs.
  • Schedule appointments; notify supervisor when clinic area access is less than desirable or if an individual patient cannot be scheduled within mandated timeframes.
  • Daily review of active/pending Consults, Encounters, Electronic Wait List, Recall list, and MHV secure messaging communications for accuracy and disposition.
  • Report backlogs, difficulties in meeting deadlines, uncooperative physicians, or difficulty in securing information from clinicians or Employee plans.
  • Organizes work independently and handles scheduling problems and deviations based on personal knowledge of clinic operations and policy, schedules, and provider's preferences.

Work Schedule: Various tours and specialty sections are available and are to be determined by the Service during interview and confirmed upon selection.

Pay: Competitive salary and regular salary increases

Paid Time Off: 37-50 days of annual paid time off per year (including leave, sick leave, and holidays). Selected applicants may qualify for credit toward annual leave accrual, based on prior work or military service experience.

Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave for birth, adoption, or foster care placement.

Child Care Subsidy: After 60 days of employment, full-time employees with family income below $144,000 may be eligible for a subsidy up to 25% of childcare costs, up to a maximum of $416.66/month.

Retirement: Federal pension (vesting in 5 years) and federal 401K with up to 5% VA contributions.

Insurance: Federal health, vision, dental, life, and long-term care insurance options.

Requirements

  • You must be a U.S. Citizen.
  • Selective Service Registration is required for males born after 12/31/1959.
  • Proficiency in English (written and spoken).
  • Subject to background/security investigation.
  • Complete an online onboarding process and provide acceptable identification (e.g., driver's license, state ID, etc.).
  • Pass pre-employment physical exam.
  • Participation in seasonal influenza vaccination program required.

Qualifications

Basic Requirements

  • U.S. Citizenship.
  • Six months of clerical or office work experience or one year of above high school education or an equivalent combination.

Grade Determinations: GS-06
In addition to the basic requirements, one year of experience at GS-05 level is required, including duties like scheduling, answering phones, and relaying messages. Candidates must demonstrate knowledge, skills, and abilities such as teamwork, organization, communication, knowledge of healthcare processes, policies, and medical terminology.

Physical Requirements: Sedentary work with some walking, standing, bending, and carrying light items. Work may be stressful during peak hours.
