Job description

ADOPTION & FOSTER COORDINATOR

FULL-TIME | PRIMARILY REMOTE | KANSAS / KANSAS CITY AREA PREFERRED

Always & Furever Midwest Animal Sanctuary Periodic visits to Spring Hill, Osawatomie and future Kansas City, MO campus 40 hours weekly, including scheduled weekend coverage and defined days off

Help animals be seen, loved and placed in the right homes

At Always & Furever, we have saved just under 10,000 lives by reimagining rescue. We are looking for an organized, warm, proactive person who loves dogs and people, supports our volunteer teams, and makes sure no promising foster or adoption opportunity is lost because a process stalled. This is both a relationship-building and a follow-through role.

What you will own
  • Applications: Monitor adoption and foster inquiries on scheduled workdays; acknowledge, assign and track each application from receipt to final outcome in ShelterLuv. Coordinate references, screening, home checks, meet-and-greets and timely decisions with authorized volunteers and leaders. Follow up on incomplete or stalled applications and keep applicants informed.
  • Foster growth and support: Recruit and onboard foster families; maintain a current roster of capacity, availability, location and animal needs. Check in with active fosters, follow up with interested applicants, reconnect with inactive fosters and flag support needs before families burn out.
  • Volunteer coordination: Support the existing adoption and foster volunteer teams, distribute assignments based on capacity, provide clear expectations and templates, monitor overdue steps, and raise recurring coverage or performance issues to leadership.
  • Know and advocate for the dogs: Visit facilities and connect with foster families to learn each dog’s personality, needs, routines and ideal home. Gather accurate photos, short videos and updates; help create engaging bios, adoption spotlights and foster appeals, especially for seniors, long-stay, medical, bonded or overlooked dogs.
  • Placement and follow-through: Coordinate safe matches and transitions with sanctuary, intake, medical and foster teams. Support post-placement check-ins, track returns and concerns, and make sure urgent needs and animals with little interest receive additional outreach.
  • Communication, safety and reporting: Keep staff, volunteers and applicants updated; protect private information; escalation medical, behavioral, bite, safety, disputed-application or interstate-placement questions. Follow A&F approval and marketing processes; do not independently override placement policy or make veterinary decisions.
Clear, achievable performance goals

These are shared operating targets, not promises of instant placement. Targets apply to work assigned within the employee’s scheduled coverage; exceptions and external delays are documented and reviewed.

Applicant response: Aim for 95% of new applications acknowledged within 24 hours during scheduled coverage; coordinate coverage for days off.

Keep applications moving: For 95% of complete applications, request or schedule the next screening step within 48 hours; record who owns it and any delay.

Decisions and follow-up: Communicate an approved decision or clear next step within 2 business days after final screening. For nonresponsive applicants, make two follow-ups over 7 days before marking inactive.

Foster development: Make at least 5 meaningful prospective or inactive-foster outreach contacts weekly; track approvals, activation and available capacity. Adjust target after the first 90 days.

Dog storytelling: Deliver 3 accurate, usable dog stories/profile updates or photo/video packages weekly in coordination with marketing; prioritize dogs with low interest.

Visibility and reporting: Keep application statuses and owners current; send one concise weekly dashboard of applications, bottlenecks, foster capacity, placements/returns and outreach priorities.

Your first 90 days

Learn ShelterLuv and A&F workflows, build trust with staff, fosters and volunteers, establish baseline metrics and begin improving response times, foster outreach and dog visibility. Goals will be reviewed with your supervisor and adjusted for volume, volunteer availability and resources. We value safe, lasting placements over raw adoption numbers, likes or views.

What we are looking for

Strong organization, writing, people skills, initiative and follow-through; comfort with remote collaboration, databases and smartphone photos/videos; reliable transportation, scheduled weekend availability and safe handling around dogs. Rescue, volunteer coordination, customer service, case management or social storytelling experience is helpful, but not required. You must respect confidentiality and established animal welfare procedures.

Team, compensation and applying

Reports to a designated A&F supervisor and works closely with the Placement Director, volunteer teams, sanctuary leadership and marketing. Final placement and publishing approvals remain with authorized leaders. Full-time paid position; compensation and benefits discussed with qualified candidates.
