Job description

Make a Difference. Build Relationships. Make Things Happen.

Are you a friendly, organized, detail-oriented person who takes pride in getting things done right? Do you enjoy helping people, building relationships, and making a positive difference in the lives of others? Regina Health Center is looking for an enthusiastic, dependable Admissions Coordinator to join our outstanding leadership team!

Regina Health Center is a mission-based skilled nursing facility of excellence, situated on 230 beautiful acres in Richfield, Ohio. As a ministry of the Sisters of Charity Health System, we are dedicated to providing compassionate, high-quality care in a welcoming, faith-based environment where residents feel truly at home.

We are looking for more than someone who can complete paperwork. We want a personable, proactive professional who takes ownership, pays attention to the details, follows through on commitments, and understands that every inquiry, referral, and admission represents a person and a family placing their trust in us.

What You'll Do

As our Admissions Coordinator, you will play a vital role in helping residents and families navigate the transition to assisted living, rehabilitation, or long-term skilled nursing care. You'll work closely with hospital discharge planners, families, our marketing team, nursing leadership, and other departments to make the admission process welcoming, efficient, and seamless.

Your responsibilities will include:

  • Build relationships and welcome families. Respond promptly and professionally to inquiries, coordinate referrals, conduct facility tours, and help prospective residents and families feel comfortable and informed.
  • Take ownership of the admission process. Coordinate every step from the initial inquiry through admission and follow-up, ensuring nothing falls through the cracks.
  • Get the details right. Verify insurance coverage, understand Medicare, Medicaid, and managed care requirements, evaluate admission criteria, and obtain necessary pre-certifications.
  • Follow through and be accountable. Track referrals, complete paperwork accurately and on time, communicate updates, and proactively resolve outstanding issues.
  • Work as part of a team. Partner with nursing leadership and other departments to determine appropriate placement, coordinate room assignments, and ensure everyone is prepared for each new resident.
  • Keep information accurate and confidential. Maintain complete resident records, follow established admission, transfer, and discharge procedures, and communicate essential information to the appropriate departments.
  • Support our mission and growth. Help achieve census goals, strengthen relationships with referral sources and community partners, and represent Regina Health Center with professionalism, warmth, and compassion.
  • Be a trusted resource. Help residents, families, and representatives understand facility policies, insurance processes, and related admission requirements.
The Person We're Looking For

The right person is someone who combines a welcoming personality with strong organizational skills and a genuine commitment to getting the job done right.

You are someone who:

  • Greets people with a smile and makes them feel welcome.
  • Is exceptionally organized and pays attention to the little things.
  • Takes initiative rather than waiting to be reminded.
  • Follows through on commitments and holds yourself accountable for results.
  • Communicates clearly, professionally, and compassionately.
  • Can manage multiple priorities without losing track of important details.
  • Solve problems, makes sound decisions, and asks questions when needed.
  • Works well with a team while taking independent responsibility for your work.
  • Understands that timely responses, accurate paperwork, and dependable follow-through make a real difference to residents, families, and coworkers.
Qualifications
  • At least two years of related healthcare admissions experience and/or relevant education and training.
  • Prior long-term care or nursing home admissions experience preferred.
  • Familiarity with Medicare, Medicaid, managed care, and PointClickCare preferred.
  • Strong customer service, communication, organizational, and problem-solving skills.
  • Proficiency with computers and the ability to maintain accurate, confidential records.
  • A positive attitude, professional demeanor, and commitment to compassionate service.
