St. Ann's Home & School, in Methuen, MA, is a leader in special education and residential programming, offering private day programs, child and adolescent residential services, along with a broad range of outpatient services.
We are seeking a compassionate Admissions Coordinator to join our team.
The admissions coordinator must have a bachelor’s degree and have a working knowledge of the child welfare system, the DCF virtual gateway and the continuum of services offered by St. Ann’s Home.
The admissions coordinator must be a team player and be able to collaborate with the broad spectrum of internal and external parties. The admissions coordinator must also possess a blend of clinical knowledge and direct care experience and must embrace St. Ann’s community values of caring, inclusivity, teamwork, safety, self-care and integrity.
The admissions coordinator must be detail oriented, be able to multi-task, to work independently, to meet deadlines, to think flexibility and to re-prioritize tasks as needed in a fast-paced environment. The admissions coordinator must have moderate to strong computer skills (Microsoft word, excel, power point, EHR, etc.
The admissions coordinator is responsible to the director of admissions and short-term programming for assisting in all aspects of the admissions process. This includes, but is not limited to, serving as one on the primary contacts for referrals, coordinating the admissions process, and providing timely, accurate, and informative responses to all referrals.
The admissions coordinator is also responsible for cultivating relationships with referral sources, working collaboratively with referral sources to understand their ever-changing needs and how best those may be supported utilizing the service array offered by St. Ann’s Home. The admissions coordinator should look to initiate partnerships with other institutions, e.g., insurance companies, DCF, mobile crisis teams and hospitals.
The admissions coordinator also provides administrative support through filing, maintaining records and answering the phone. In securing all necessary referral material, the admissions coordinator must obtain all required documentation including assessments, evaluations, and up to date IEPs. The admissions coordinator will also create, maintain, and keep updated data on referral information to better serve our consumers’ needs as well as to conduct surveys and evaluations of St. Ann’s programming.
The admissions coordinator will also assist with marketing. The admissions coordinator must become fully knowledgeable about St. Ann’s full continuum of services and the ways in which individual program components can be put together to service the individual needs of each customer. The admissions coordinator shall perform such duties and functions as may be further assigned by the director of admissions and short-term programming, admissions manager and/or chief operating officer.
The admissions coordinator should be able to sit for extended periods of time, climb stairs, drive a motor vehicle, and use the telephone for extended periods of time. There is extensive contact with other agencies, parents, courts, physicians, etc. via telephone and in person. The admissions coordinator may need to physically restrain youth in an emergency to ensure that everyone’s safety is maintained and thus must be certified in Non-Violent Crisis Intervention (NVCI).
The mission of St. Ann's Home & School is to provide a continuum of assessment, treatment, educational, and community-based services for children, adolescents, and young adults who present with a variety of mental health, emotional, and educational challenges.
