The Business Office Manager / Admissions Coordinator is responsible for overseeing the daily operations of the business office while managing the admissions process for new residents. This position ensures accurate billing, resident trust accounts, and financial reporting, while also coordinating referrals, conducting tours, and guiding residents and families through the admissions process. The role requires excellent communication, organizational, and customer service skills to support both the business and clinical teams in providing high-quality resident care.
Business Office Functions
Manage billing, accounts receivable, accounts payable, and payroll processes.
Maintain resident trust funds and ensure compliance with all applicable regulations.
Prepare and submit required financial reports to corporate office and regulatory agencies.
Monitor census and ensure accuracy of resident records in all systems.
Assist residents and families with financial questions, including Medicaid, Medicare, and insurance processes.
Admissions Functions
Serve as the primary contact for inquiries regarding admissions and availability.
Conduct facility tours and present the nursing home’s services in a professional and welcoming manner.
Coordinate pre-admission assessments, required paperwork, and verification of insurance/financial eligibility.
Ensure accurate and timely completion of all admissions documentation in compliance with state, federal, and facility policies.
Minimum 2–3 years of experience in a long-term care or healthcare setting, with experience in business office management and/or admissions.
Knowledge of Medicare, Medicaid, and insurance billing processes.
Strong organizational, communication, and interpersonal skills.
Proficiency with Microsoft Office and electronic medical records (EMR) systems.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
