Job summary

UnitedHealth Group is seeking an Administrator, Flight Services to provide operational, administrative, and logistical support to the corporate aviation department. You will help ensure aircraft readiness, manage inventory, coordinate passenger and crew services, process invoices, and back up flight scheduling.

The ideal candidate is detail-oriented, highly organized, proactive, customer-focused, and capable of working independently in office and hangar environments.

Qualifications

  • High school diploma or equivalent.
  • 3+ years in administrative support, operations coordination, aviation support, hospitality, travel services, inventory management, or related field.
  • Proficient with Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams).
  • Strong organizational, planning, time-management, written and verbal communication skills.
  • Attention to detail, reliability, initiative, accountability.
  • Ability to work independently, manage multiple priorities, and lift/move supplies.
  • Comfort in a hangar environment and valid driver’s license.

Responsibilities

The Administrator, Flight Services provides operational, administrative, and logistical support to the corporate aviation department. This role helps ensure aircraft readiness, manages inventory and supplies, coordinates passenger and crew support services, processes vendor invoices, maintains department records, and provides backup support for flight scheduling activities.

The ideal candidate is detail oriented, highly organized, proactive, customer-focused, and comfortable working independently in both office and hangar environments. This individual takes ownership of responsibilities, manages competing priorities, and contributes to a seamless experience for passengers, crew members, and vendors.

Primary Responsibilities:

Flight Services and Operational Support

  • Coordinate catering and other flight-related support arrangements
  • Serve as a liaison among flight crews, vendors, service providers, and internal stakeholders
  • Occasionally work with executive assistants to coordinate menu choices
  • Support passenger service initiatives and help maintain a professional, high-quality travel experience
  • Provide occasional early morning or evening coverage when last-minute schedule changes occur

Inventory and Aircraft Readiness

  • Oversee ordering, stocking, organization, and replenishment of aircraft and hangar supplies
  • Monitor inventory levels and maintain appropriate stock to support aircraft readiness
  • Conduct routine inventory reviews and remove expired or obsolete items promptly
  • Maintain accurate inventory records and implement practical tracking tools using spreadsheets, applications, or other lightweight systems
  • Coordinate supply purchases and work with vendors to ensure timely delivery of required materials

Administrative and Financial Support

  • Process, track, and maintain documentation for departmental invoices and expenses
  • Reconcile invoices and work with vendors to resolve billing discrepancies, credits, or rebills
  • Maintain vendor records, purchasing documentation, expense files, and operational reports
  • Prepare correspondence, spreadsheets, reports, and other department documentation
  • Provide administrative support to flight department leadership, including special projects and additional duties as assigned

Systems, Records, and Scheduling Support

  • Provide backup support for flight scheduling functions during planned absences or vacations
  • Maintain department records, scheduling data, operational databases, and electronic file systems with a focus on accuracy and data integrity
  • Assist with scheduling-related communications and coordination among flight crews, passengers, vendors, and internal partners
  • Identify opportunities to improve organization, accountability, workflow efficiency, and process consistency

Required Qualifications:
  • High school diploma or equivalent
  • 3+ years of experience in administrative support, operations coordination, aviation support, hospitality, travel services, inventory management, or a related field
  • Solid proficiency with Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Teams
  • Proven solid computer skills and the ability to learn new systems and technologies
  • Proven excellent organizational, planning, time-management, written communication, and verbal communication skills
  • Demonstrated attention to detail, reliability, initiative, and accountability
  • Ability to work independently, prioritize multiple responsibilities, and follow through with limited supervision
  • Ability to lift and move boxes and supplies as needed
  • Ability to work in a hangar environment, including exposure to seasonal temperature variations
  • Driver's License and access to reliable transportation
  • Ability to safely operate a small cargo van for work-related transportation and deliveries, including maintaining a valid driver's license and meeting applicable company driving requirements.
Preferred Qualifications:
  • Experience supporting corporate aviation, executive travel, private aviation, transportation, or flight operations
  • Flight attendant, aviation scheduling, dispatch, FBO, executive support, hospitality, or concierge experience
  • Experience coordinating catering, ground transportation, accommodations, aircraft services, or travel logistics
  • Experience processing invoices, tracking expenses, reconciling vendor charges, and supporting vendor relationships
  • Experience with inventory management, supply tracking, purchasing processes, SharePoint, scheduling systems, or operational databases
  • Experience supporting senior leaders or executive-level customers

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $24.00 to $43.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
