Overview

Join Auburn University as an Administrator, Academic Programs and help strengthen the business and administrative foundation of programs that advance student success and institutional effectiveness. Career Discovery and Success and the Office of Academic Insight are seeking a collaborative, detail-oriented professional to coordinate financial, human resources, procurement, grant, and administrative operations across both units. This position consolidates and coordinates business operations forwarded by academic-oriented functional units and team leads. The Administrator serves as a liaison among departmental personnel, university partners, and unit leadership; advises on policies and procedures related to budgeting, human resources, procurement, grants, and other operational matters; and develops reliable financial information that supports informed decision-making.

The role also supports AUBURNACHIEVE through administration and multiyear monitoring of internally funded grant projects. Additionally, this position monitors and tracks the budget for the federally awarded Job Location Development grant. Work related to grant administration and faculty stipends will increase as new faculty and staff development and support programs are launched over the coming years. The successful candidate will work closely with executive and functional unit leaders, faculty, staff, graduate assistants, student employees, and administrative support personnel. Supervisory responsibilities are not a primary function of the position, although the role may coordinate work across administrative personnel and may assume supervisory responsibilities as organizational needs evolve.

Responsibilities
  • Provides high-level administrative and professional program support to executive directors, department leaders, program heads, and functional teams across Career Discovery and Success and the Office of Academic Insight.
  • Coordinates daily business operations, including review and processing of departmental financial transactions, budget change orders, payroll-related actions, travel vouchers, requisitions, journal vouchers, and other financial documentation.
  • Develops, maintains, analyzes, and reconciles unit-level budget projections using financial information gathered from internal teams; advises leadership regarding available resources, commitments, trends, and budget implications.
  • Supports the administration of internal and externally funded grants; contributes to budget planning and review, monitors multiyear expenditures, and helps ensure that funded activity aligns with approved plans and University strategic priorities.
  • Coordinates human resources processes, including recruitment and onboarding support, personnel action forms, compensation-related actions, and maintenance of accurate employment documentation in partnership with University Human Resources.
  • Coordinates contract execution, professional services contracts, procurement of academic and operational resources, vendor communication, and related documentation in accordance with University policies and procedures.
  • Serves as a liaison and resource for administrative support personnel, faculty, staff, graduate assistants, and student employees by interpreting and communicating policies and procedures related to business, finance, grants, and procurement.
  • Prepares and coordinates recurring and ad hoc business and financial reports for executive and functional unit leaders, including visual projections and decision-support models that improve operational planning and efficiency.
  • Maintains relevant databases, files, and tracking systems to ensure records are accurate, accessible, confidential, and aligned with institutional requirements.
  • May coordinate equipment and supply inventories, submit facilities requests, support other administrative needs of the units and perform other duties as assigned.
Qualifications
  • Bachelor's degree and 3 years of experience in administrative and financial supportservices.

Preferred:

  • Experience with Banner 9 or a comparable enterprise financial reporting system.
