Job summary

Yora Nordic Spa is opening soon, seeking an Administrator to join the founding on-site team in Portland. You will provide organized, accurate support to the General Manager and department leaders, manage records and financial documents, and assist with payroll and month-end processes to ensure a smooth pre-opening.

The role emphasizes confidentiality, strong communication, and attention to detail while enabling leaders to focus on guests and teams as we approach opening in November 2026.

Qualifications

  • Previous administrative experience, preferably in hospitality, wellness or a service-focused environment.
  • Strong financial aptitude, accuracy and attention to detail.
  • Excellent organization and the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Sound judgment and the ability to handle confidential information with discretion.
  • Proficiency with Microsoft Office and comfort learning new technology.
  • Experience with POS, payroll, accounting, PMS or similar business systems is an asset.
  • Strong problem-solving skills and a commitment to dependable follow-through.

Responsibilities

  • Provide timely administrative support to the General Manager and department leaders.
  • Maintain accurate and organized administrative records, files and business systems.
  • Complete daily revenue audits and reconcile cash, credit card, POS and other transactions.
  • Prepare required financial and operational reports accurately and on time.
  • Process invoices, expenses and other financial documentation.
  • Support payroll administration, employee information changes and required documentation in partnership with People & Culture.
  • Support month-end accounting requirements and established reporting deadlines.
  • Coordinate office supplies, purchasing, receiving and administrative inventory as required.
  • Track deadlines and ensure assigned administrative requirements are completed accurately and on time.
  • Identify, resolve or promptly elevate revenue, payroll, expense and financial discrepancies.
  • Support departmental expense and budget monitoring and maintain reliable documentation for audits and business decisions.
  • Communicate clearly when information, approvals or documentation are required.
  • Maintain confidentiality and discretion with guest, employee and business information.
  • Identify opportunities to simplify administrative processes, improve accuracy and reduce unnecessary costs.

The Opportunity

The Administrator will be part of Yora's founding on-site team, providing the accurate, organized and reliable support that allows the spa and its people to operate with confidence. Working closely with the General Manager, department leaders and Corporate support teams, this role helps ensure financial, payroll and administrative processes are ready for Yora Nordic Spa's opening in November 2026. This role is anticipated to start near the end of October 2026.

This is a behind-the-scenes role with a visible impact. When revenue is reconciled, payroll information is accurate, records are organized and deadlines are met, leaders can remain focused on their teams and guests and the Yora experience feels effortless.

What You Will Do

Schedule

This is a full-time, on-site position that generally follows regular business hours. Occasional flexibility may be required to meet payroll, month-end, audit, reporting and other business deadlines, particularly during the pre-opening and opening periods.

Physical And Work Environment Requirements

This position works primarily indoors in an office-based environment, with regular movement throughout administrative and operational areas of the spa. The role involves extended periods of sitting and computer use; repetitive hand and finger movements associated with data entry and administrative work; periods of standing and walking; regular bending and reaching; climbing stairs; and lifting and carrying routine office supplies, files and administrative materials. While moving through operational areas, employees may encounter changing temperatures, humidity, steam, moisture, noise and wet or slippery surfaces. The employee must be able to perform the essential functions of the position safely, with or without reasonable accommodation.
