Job description

The Administrative Support Officer role offers an exciting opportunity to directly influence the efficiency and impact of our work. Working with the Executive Coordinator, you will provide administrative support to the wider Leadership Team, enabling them to deliver ambitious plans during a period of organisational growth.

The role involves close collaboration with Global Canopy team members, particularly Communications Leads, to develop and deliver comprehensive project plans for key external-facing events such as London and New York Climate Weeks (annual), climate COPs (annual), and biodiversity COPs (biennial).

The successful applicant will serve as the primary contact for summit-related events, coordinating meetings, tracking follow-up actions, and providing updates via internal communications. You will oversee logistical arrangements including conference registration, travel, accommodation, visa procurement, and insurance, as well as preparing travel packs for attendees.

We seek a confident self-starter capable of juggling multiple priorities across different teams, with excellent IT and organisational skills, including experience with Excel, Google Workspace, and Asana.

This role is offered on a fixed-term contract until January 2026.

Requirements

To succeed, you should demonstrate:

  • Highly organised self-management skills, with the ability to maintain records and streamline processes for maximum productivity
  • Excellent verbal and written communication skills
  • Capability to manage multiple tasks simultaneously, ensuring high performance
  • Flexibility to adapt to changing priorities and circumstances
  • Problem-solving skills to identify issues and develop practical solutions promptly

Skills and experience:

  • Strong attention to detail, with proofreading and budget monitoring experience
  • Understanding of good project management principles
  • Experience in planning international events
  • Strong interpersonal skills to engage with stakeholders at all levels and an interest in Global Canopy’s work
  • Familiarity with project management tools like Asana and CRMs
