Qualifications

Responsibilities

#141289 Administrative Supervisor - Multi-Specialty

Description

Strategic role in supporting the Colorectal Surgery, Minimally Invasive Surgery, La Jolla Emergency Surgery, and Obesity Medicine departments across seven locations. These are all high-acuity, high-volume service lines that demand the highest level of coordination, responsiveness, and expertise in clinic operations and administrative support. Serves as a key training resource for schedulers across multiple departments, helping to build competency and ensure consistency in workflows. Role includes addressing critical operational needs, ensuring continuity, minimizing delays in urgent and emergent issues, and mitigating risks that could directly affect patient outcomes and departmental performance. Provides coverage for the Associate Director when out of office, ensuring uninterrupted clinic operations and communication. Key partner to the three Chief Medical Directors (CMDs), actively participating in meetings and high-level report-outs to leadership. Her insights and operational expertise contribute meaningfully to strategic decision-making. Supervises clinic operations staff involved in routine functions. Oversight of administrativeareas such as registration, new patient coordination, scheduling, facilities, insurance authorizations, administrative and clinical support staff. Key Responsibilities Include
  • Leading administrative, clinical support, and front-office teams.
  • Completion of timecard management and annual performance reviews.
  • Managing provider schedules, template optimization, and patient access.

  • Supporting physicians and APPs to ensure efficient clinical operations.
  • Implementing systemwide initiatives, policies, and workflows.
  • Coordinating with centralized departments including HR, Finance, IT, Revenue Cycle, and Population Health.
  • Driving improvement efforts related to access, quality, patient safety, and employee engagement.
  • Maintaining regulatory and accreditation readiness.
Minimum Qualifications
  • Bachelor's degree in business, healthcare administration or related area and / or equivalent combination of experience / training.
  • Five or more years of comprehensive healthcare operations experience supporting clinical, administrative, and patient service functions, or similar administrative or clinical role to include at least five years of Supervisory experience.
  • Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirement and best practices.
  • Strong knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to participate in decision-making on human resources matters.
  • Strong analytical and critical thinking skills, with the ability to quickly analyze problems, determine appropriate level of intervention, and develop and apply effective solutions.Strong interpersonal skills for effective collaborations with all levels of management and staff, consultants, and outside agencies.
  • Strong written and verbal communications skills, with the ability to train and mentor subordinates, to convey complex administrative, clinical, and technical information in a clear and concise manner, and to prepare and present a variety of reports, documentation, analyses, and project proposals.
  • Strong knowledge of business software and specialized applications and data management systems used in clinic / center operations.
Preferred Qualifications
  • Primary Care experience within a large health system.
  • Budgeting and history of successful financial management/rev cycle management.
  • Demonstrated success in project management and data analysis.
  • Human resource experience in an union environment.
  • Policy and protocol creation and management.
  • Lean Six Sigma training and experience.
  • Experience working in a physician dyad (i.e. Clinic medical director).
  • Working knowledge of the Epic electronic practice management and medical records system.
  • UCSD system knowledge.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $90,600 - $166,400 (will be prorated if the appointment percentage is less than 100%).

Hourly Equivalent: $43.39 - $79.69

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
