Richmond Behavioral Health Authority is seeking a part-time administrative support specialist in Richmond, VA to perform data entry, scheduling, and program logistics coordination.
Responsibilities include processing invoices, maintaining accurate records, monitoring eligibility, and assisting with internal reporting. The role requires attention to detail, discretion, and the ability to manage multiple priorities in a team setting.
Recovery Plus is an Opioid Treatment Program offering medication assisted treatment (MAT) – methadone - for individuals diagnosed with opioid dependence. RBHA utilizes the American Society of Addition Medicine (ASAM) Criteria to determine if an individual meets criterion for this type of outpatient treatment. In addition to treatment with medication, Recovery Plus offers individual therapy, group counseling sessions, and peer recovery support. This is a voluntary program that complies with all local and federal regulations.
Job Summary
Provide administrative support with increasing independence and complexity. Responsibilities include document processing, data entry, scheduling, and coordination of program logistics. Support multiple teams and requires attention to detail, discretion, and the ability to manage multiple priorities.
Essential Duties and Responsibilities

Perform data entry and maintain accurate records across multiple systems
Coordinate scheduling for meetings, assessments, and program activities
Process and track financial documentation such as invoices and purchase authorizations
Maintain filing systems and manage document flow
Monitor eligibility and authorization records for services or programs
Conduct audits and reviews of documentation for accuracy and compliance
Provide general customer service and respond to inquiries
Support inventory tracking and supply ordering
Assist with internal reporting and documentation preparation
Other duties as assigned
Minimum Qualifications—Education and Experience
High School Diploma or equivalent (G.E.D.)
1–3 years of experience in administrative support or office operations
Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Ability to learn and retain processes through instruction and apply them independently
OR?an equivalent combination of education, experience, knowledge, skills, and abilities that demonstrates the capacity to perform the essential functions of the position, as permitted by applicable regulatory standards.
Possession of a valid Virginia driver’s license and a satisfactory driving record in accordance with agency policy.
Preferred Qualifications
Associate degree or two-year technical certificate in office administration or related field
Experience working in behavioral health or human services settings
Familiarity with electronic health record systems or financial databases
Knowledge, Skills, and Abilities
Knowledge of business administration and basic accounting principles
Skill in managing time, prioritizing tasks, and communicating effectively
Skill in using spreadsheet and document management software
Ability to interpret financial data and resolve discrepancies
Ability to organize information and maintain accurate records
Ability to work independently and collaboratively in a team environment
Supervisory Responsibilities
This position does not supervise or function in a lead worker capacity.
Work Environment and Physical Demands
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. While this role may involve desk-based tasks, employees must be able to ambulate independently, operate a motor vehicle, and transition between office and field environments. Field-based responsibilities may include walking short distances, climbing stairs, and carrying essential work items such as a laptop.
Close concentration, visual attention and need for manual dexterity required.
Normal working conditions. Work is typically performed in a standard behavioral health environment with minimal exposure to environmental hazards.
Staff may occasionally engage in behavior intervention strategies, such as verbal de-escalation or redirection, to support client safety and therapeutic goals.
