Job summary

Broward College seeks an Administrative Specialist III to perform and oversee a broad set of administrative tasks, support staff, handle records, coordinate onboarding, and manage information gathering. The role serves as a liaison with departments and the public to provide information.

Under general supervision, you will use Workday and Microsoft 365, compile reports, assist with budget-related duties, schedule meetings, and contribute to process improvements.

Qualifications

  • Three to five years of administrative support experience.
  • Experience using Workday and Microsoft 365 preferred.

Responsibilities

  • Perform and administer a wide range of staff and/or operational support activities for the unit.
  • Place facilities requests, assist with budgets and fiscal administration, procurement, and data gathering.
  • Provide administrative support such as answering telephones and assisting visitors.
  • Prepare agendas and minutes of meetings and distribute them.
  • Schedule and coordinate meetings, events, and interviews for supervisor as needed.
  • Prepare statistical and narrative reports and assist in data analysis.
  • Assist administrators in problem solving, project planning, and execution of goals.
  • Maintain files, databases, and records to ensure data integrity.
  • Sort and respond to mail and inquiries; may train student employees.

Job Title

Administrative Specialist III (Multiple Openings)

Summary

Under general supervision, the purpose of the job is to perform and/or oversee a variety of associated administrative tasks, provide staff support, perform specialized recordkeeping and data management, coordinate the employee onboarding experience, and conduct specified information‑gathering projects and tasks. The incumbent communicates with employees, departments, administrators, and the public to provide information and assistance.

Veterans’ Preference

This position allows eligible veterans and their spouses to claim Veterans’ Preference pursuant to Florida Statute 295. Certain service members may be eligible for waivers for postsecondary educational requirements in state employment and are encouraged to apply for the positions being filled.

Essential Functions
  • 30% – Perform and administer a wide range of staff and/or operational support activities for the unit; serve as a liaison with other departments and operating units to resolve day‑to‑day administrative and operational problems.
  • 20% – Place facilities requests, assist with budgets and fiscal administration, procurement, purchasing, transaction verifications, gather and compute data, and maintain financial records, files and office supply inventories.
  • 5% – Provide administrative support such as answering telephones, assisting visitors, and resolving and/or referring a wide range of administrative problems and inquiries.
  • 5% – Operate personal computers to compose and edit correspondence and/or memoranda from verbal direction or from established department/division policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.
  • 10% – Schedule and coordinate meetings, events, interviews, appointments, and other similar activities for supervisor (as needed).
  • 5% – Prepare or assist with the preparation of scheduled and/or ad hoc statistical and narrative reports; perform general information gathering, analysis and forecasting as directed and in accordance with established procedures.
  • 10% – Assist department/division administrators in problem solving, project planning, and development and execution of stated goals and objectives (as needed).
  • 5% – Establish, maintain, and update files, databases, records, and other documents to ensure preservation of integrity, validity, and accuracy of unit data.
  • 5% – Sort, screen, review, and distribute incoming and outgoing mail; compose, prepare, or ensure timely responses to a variety of written inquiries.
  • 3% – May train and coordinate the work of student employees and/or temporary or part‑time staff.
  • 2% – Perform other related duties as required.
Qualifications

Minimum Education: High School Diploma (Associate’s Degree preferred). An equivalent combination of experience and education may be considered.Minimum Experience/Training: Three to five years of administrative support, office, or related experience required. Experience using Workday and Microsoft 365 preferred.

Knowledge, Skills & Abilities
  • Full working knowledge of general office practices and procedures.
  • Ability to recognize unit needs and assume responsibility.
  • Proficient in office software (e.g., Microsoft Office 365 applications, spreadsheets, data analysis).
  • Strong internet navigation skills.
  • Strong interpersonal and communication skills to represent the work area.
  • Command of a foreign language and experience in a multicultural environment preferred.
