Job Summary
Under general supervision, this role performs and oversees a variety of administrative tasks, including staff support, recordkeeping, data management, and employee onboarding. The position serves as a liaison with employees, departments, administrators, and the public, providing information and assistance. Excellent public contact skills and experience are required.
Essential Functions
- Daily 30%: Performs and administers wide‑range staff and operational support activities; serves as a liaison with other departments to resolve day‑to‑day administrative and operational problems.
- Daily 20%: Places facilities requests, assists with budgets, fiscal administration, procurement, purchasing, transaction verifications, gathers and computes data, maintains financial records, files, and office supply inventories.
- Daily 5%: Provides administrative support, such as answering telephones, assisting visitors, and resolving or referring a wide range of administrative problems and inquiries.
- Daily 5%: Operates personal computer to compose and edit correspondence, memoranda, agendas, or minutes of meetings; may prepare, transcribe, type, edit, and distribute agendas and minutes.
- Daily 5%: Prepares or assists with scheduled or ad‑hoc statistical and narrative reports; performs general information gathering, analysis, and forecasting.
- Daily 5%: Maintains and updates files, databases, records, and other documents to ensure preservation of integrity, validity, and accuracy of unit data.
- Daily 5%: Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to written inquiries.
- As Needed 10%: Schedules and coordinates meetings, events, interviews, appointments, and other similar activities for supervisor.
- As Needed 10%: Assists department/division administrators in problem solving, project planning, and execution of stated goals and objectives.
- Other 3%: May train and coordinate work of student employees and/or temporary staff or part‑time staff.
- Other 2%: Performs other related duties as required.
Qualifications
- Minimum Education: High School Diploma. Associate’s Degree preferred; an equivalent combination of experience and education may be considered.
- Minimum Experience/Training: Three to five years of administrative support, office, or related experience required.
- Proficiency in Microsoft Office 365, spreadsheets, and data analysis.
- Experience using Workday preferred.
- Strong interpersonal and communication skills.
- Ability to recognize unit needs and take responsibility.
- Proficient with internet navigation.
- Command of a foreign language and experience in a multicultural environment preferred.
Knowledge, Skills & Abilities
- Full working knowledge of general office practices and procedures.
- Ability to recognize needs of the unit and act with ownership.
- Proficient office software skills (Microsoft Office 365, spreadsheets, data analysis).
- Easily navigates the Internet.
- Strong interpersonal and communication skills.
- Foreign language command and multicultural experience preferred.
