Job description

Job Duties

This is an essential administrative support position. The successful candidate will perform routine administrative work in support of all Center activities. The candidate will have broad responsibilities in the areas of administrative support operations, procedures, purchasing, personnel, and budgeting. Additionally, the candidate will update and maintain the Center’s filing system — both electronic and hard copy; develop a tracking system for receipt and distribution of correspondence. Manage preparations for meetings, conferences, and other project related events and functions. Schedule speakers, facilities, equipment, travel, and hotel accommodations in support of Center activities.

  • Develop draft correspondence.
  • Create databases and spreadsheets.
  • Assist with development of project and center budgets.
  • Complete meeting minutes.

Monitor expenditures and maintain CERC’s internal financial records.

Handle procurement for CERC including keeping an inventory of supplies; making purchases; identifying needed office and operating supplies and securing needed items within the guidelines of the University’s Procurement Policy Manual.

Provide exceptional customer service to all constituents. Work collaboratively with colleagues to ensure the smooth operation of the Center. Perform related duties, as assigned.

Required Qualifications

(1) A Bachelor’s degree in Business Administration or related field and at least three years of experience in business administration, higher education, in an administrative support role is required; or at least five years of related work experience in business administration or higher education.

(2) Prior administrative support experience (two or more years).

Knowledge, Skills, and Abilities
  • Knowledge of budgeting, business administration, scheduling, and purchasing.
  • Skills in computer operations, use of doodle poll software, Microsoft office suite Canva, and office relevant software.
  • Ability to solve complex problems.

Physical Demands

Works in office. May be called upon to assist at meetings and other Center activities outside the office.
Moderate pressure to meet deadlines.
