About the opportunity

SWCA Environmental Consultants is a leading environmental consulting firm dedicated to delivering sound science and creative solutions to our clients. The Administrative Specialist - Contracts Analyst plays a key support role within the Legal / Contracts Department, responsible for reviewing, processing, and maintaining contracts related to professional services. This position ensures compliance with internal policies and regulatory requirements while facilitating smooth contract lifecycle management.

What you will accomplish

  • Assist in the review and processing of client professional services contracts, amendments, and related documents utilizing AI-driven contract review software and the assistance of legal counsel.
  • Assists in the review and processing of other legal instruments, such as non-disclosure agreements, vendor contracts, leases, etc. utilizing AI-driven contract review software and the assistance of legal counsel.
  • Maintain accurate and organized contract records.
  • Coordinate with internal departments (project management, legal, risk, etc.) to ensure contract requirements are understood and met.
  • Support compliance efforts by ensuring contracts align with organizational policies, regulatory, accounting, information technology, and other standards.

Experience and qualifications for success

  • 1-3 years of experience in a contracts, legal, or administrative support role, preferably within a professional services or procurement environment.
  • Familiarity with contract terminology and legal document structure.
  • Strong organizational skills with high attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with ticketing and/or contract management systems is a plus.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with integrity and discretion.
  • Capable of working independently and collaboratively in a fast-paced environment.

Preferred Skills:

  • Experience supporting legal or procurement teams.
  • Basic understanding of risk management and compliance related to professional services contracts.
  • Ability to prioritize multiple tasks and meet deadlines.

An employee in this Phoenix office based position can expect an hourly pay rate of $19.00/hr - $24.50/hr. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law.
