Primary Responsibilities and Position Description

Position Summary:Responsible for ensuring business operations are executed smoothly.Oversee office space, lease requirements, mail distribution, and other forms of communication, scheduling resources, and other administrative support functions.

Reports to: ABNS Chief Operating Officer, ABNS Executive Director

Primary Responsibilities:

  • Balance multiple projects simultaneously and appropriately handle sensitive, confidential information with the utmost discretion
  • Anticipate needs of the COO and Executive Director
  • Understanding of when to solve problems thoughtfully and independently and when to escalate issues to the COO
  • Review current processes and recommend policy or procedural changes to improve operations
  • Exercise independent judgement while planning and coordinating office activities and procedures
  • Lead special projects demonstrating exemplary project management abilities, which may require persuasion and negotiation
  • Anticipate problems and serve as an escalation point when necessary to address concerns or issues with other employees, candidates, or diplomates
  • Scheduling and calendar management including coordination of complex meetings with multiple participants and locations
  • Prepare and distribute meeting materials and take thorough, accurate minutes
  • Assist in preparing presentations
  • Assist in office policy development, operational planning, and coordination of sensitive programs

Qualifications

·Bachelor's degree and 5 years of relevant prior experience

·Proactive and able to prioritize effectively

·Ability to meet strict deadlines

·Strong written and verbal communication skills
