Job summary

Link Engineering Company (LINK) is seeking an Administrative Specialist to perform cross-functional duties including job creation, purchasing, billing, DOT compliance, fleet management support, and HR liaison activities from East Liberty, OH. The role requires strong organization, communication, and confidentiality, with overtime and occasional travel.

Responsibilities

  • Perform general office duties: ordering supplies, records, shipping/receiving, and reception.
  • Create, manage, and close-out jobs (Sales Orders); provide labor and material data for billing.
  • Manage purchasing activities; allocate expenses to proper accounts or job numbers.
  • Ensure DOT regulatory compliance for all Link vehicles and CDL management.
  • Coordinate fleet management services remotely for the LCVT unit; schedule, track expenses, and handle billing.
  • Serve as HR liaison; assist onboarding and communicate with HR.

We are looking for a talented Administrative Specialistyou will be responsible for a variety of cross‑functional tasks including, but not limited to, the following: job creation & management, purchasing, billing/accounting, DOT regulation compliance, customer‑facing vehicle fleet management support, and being the local Human Resources champion & liaison.

Main Responsibilities:

  • Perform general office duties such as ordering supplies, maintaining records, assisting with shipping/receiving activities, and reception of visitors to the facility.
  • Create, manage, and close‑out jobs (Sales Orders) as they are created & executed. This will also include providing labor & material cost data to the Engineering team for job billing and submitting monthly billing data to Accounting for invoicing purposes.
  • Manage purchasing activities for the facility, ensuring that expenses are applied to proper accounts and/or job numbers.
  • Ensure administrative Department of Transportation (DOT) regulation compliance for all vehicles that run the Link Engineering DOT number on public roads. Support employees with Commercial Driver’s License (CDL) management and upkeep.
  • Be the customer‑facing project coordinator for fleet management services provided by the LCVT business unit. This includes vehicle & driver scheduling, expense tracking & reporting, vehicle lease management, EROAD log monitoring, monthly customer billing, and general customer service to the client(s). This task is to be performed remotely, regardless of the customer’s location.
  • Act as the local champion and liaison of the Human Resources team. Assist with on‑boarding activities, have a working knowledge of the Link Engineering Employee Handbook and benefits package in order to assist employees, and communicate on a regular basis with the corporate HR team.
  • All other related duties as assigned.
  • Possess mental faculties consistent with performing the minimum requirements of the job.

Qualifications:
  • High School diploma or GED
  • A minimum of 5 years relevant work experience in an office environment
Knowledge, Skills & Abilities:
  • Strong verbal, written, and interpersonal communication skills
  • Able to handle multiple projects simultaneously and work well under pressure
  • Ability to work well in a Team environment
  • Proficient in Microsoft Office, Epicor ERP, EROAD, Docstar, HubSpot CRM, and LabLINK
  • Possess a high degree of professionalism and confidentiality
  • Valid driver’s license with a clean driving record
