Job Overview
The Administrative Services Coordinator performs a broad range of payroll, accounting, purchasing, and administrative duties to ensure accurate and timely payroll processing and financial operations. This position serves as the primary payroll contact for campus departments and employees, provides high‑quality customer service, and supports financial reporting, purchasing, and special projects. The role requires strong organizational skills, attention to detail, and the ability to manage multiple deadlines.
Responsibilities
- Payroll Administration
- Act as the first point of contact for all campus departments and employees regarding payroll and employee self‑service questions.
- Serve as the UNC System Office payroll liaison, coordinating payroll activities and communications.
- Process and manage payroll finance feeds, ensuring accuracy and compliance.
- Print and distribute payroll checks as required.
- Ensure all payroll system upgrades and testing are completed without disrupting payroll processing.
- Distribute W2 forms to employees and ensure all W2s are completed and delivered by established deadlines.
- Accounting & Financial Support
- Order office and departmental supplies in accordance with university policies.
- Process finance invoices in EaglePurch, ensuring accuracy, appropriate approvals, and timely payment.
- Perform chargebacks, journal entries, and related payroll accounting tasks.
- Assist with scholarship allocation during peak times.
- Administrative & Office Support
- Perform general office duties, including opening and processing mail.
- Monitor controller email and respond to inquiries in a timely manner.
- Support special projects and ad hoc reporting requests assigned by management.
- Customer Service & Communication
- Provide professional customer service to campus departments and employees.
- Maintain a high level of confidentiality and professionalism when handling sensitive employee information.
Qualifications
- Strong knowledge of payroll processes, garnishments, and compliance requirements.
- Excellent organizational skills with high attention to detail and accuracy.
- Ability to manage confidential information with discretion.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
- Proficiency in Banner financial systems and Microsoft Office applications.
- Strong customer service skills with the ability to respond professionally to employee inquiries.
Minimum Education & Experience
- Bachelor's degree and one year of experience related to the area of assignment; or an equivalent combination of training and experience.
- At least three years of communications, marketing, and/or development experience (preferred, but not required).
- All degrees must be received from appropriately accredited institutions.
