Qualifications

  • Graduation from an accredited college or university, with preference for public/business administration, accounting, industrial relations, communications or related field.
  • One year of full-time or equivalent part-time paid work in administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property.

Responsibilities

  • Manage visitor access as primary control point and ensure entry only for authorized individuals per safety protocols.
  • Oversee mail and package receipt, documentation, and distribution; maintain inventory of specified products/equipment in compliance with ACA standards.
  • Schedule and log fire drills and safety inspections; post policy signage and notices as required by regulations.
  • Coordinate janitorial labor, update floor plans, maintain staff extension lists; manage fleet key control, vehicle maintenance, and building issue logs.

Job description

Under general supervision of the Director of Inmate Records, the Administrative Services Assistant 1 position is essential to the secure and efficient operation of the Division of Corrections and Rehabilitation, Central Office. The incumbent is essential to the secure and efficient operation of the office, serving as the primary control point for all visitor access and ensuring that only authorized individuals are granted entry through the secure entrance in strict accordance with established safety protocols.

This role functions as the central communications hub, managing incoming calls and overseeing the receipt, documentation, and distribution of mail and packages. Responsibilities include maintaining the inventory of specified products and equipment to ensure items are correct, properly stored, and purchased in full compliance with ACA standards. The position will be responsible for scheduling and maintaining logs of fire drills and safety inspections, while ensuring that all required policy signage and notices are posted in accordance with regulatory compliance.

Coordinates janitorial labor to maintain facility order and cleanliness, updates facility floor plans to reflect employee work locations, and maintains current staff extension lists. Additionally, this position will manage the key control, vehicle maintenance, and detailing logs for the Fleet Motor pool and serve as the primary contact for logging building and maintenance issues to General Services.

Training:

Graduation from an accredited college or university. Preference may be given to candidates with a major in the area of public or business administration, accounting, industrial relations, communications or related field.

Substitution:

Additional qualifying experience as described below may be substituted on a year-for-year basis for the required training.

Experience:

One year of full-time or equivalent part-time paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property. Experience must have been at the Office Assistant 3 or Accounting Technician 3 level or higher.

Substitution:

Successful completion of graduate study in an accredited college or university in one of the above fields may be substituted for the required experience on a year-for-year basis.
