Sigma Foods seeks an organized administrative professional to support the distribution, invoicing, and accounts receivable activities. This on-site role in Vernon, CA requires handling purchase orders, client data, and coordinating with distributors while ensuring accuracy and compliance.

The ideal candidate brings at least two years of related experience, fluency in English and Spanish, and a valid driver’s license to facilitate occasional travel.

POSITION SUMMARY

This position performs administrative and office support activities under supervision of their manager such as controls, administrates and sorts the distribution process of placed orders and company funds. This position is also responsible for invoicing of customers, issuing of customer statements and adherence to accounts receivable guidelines. This is a Monday-Friday in-office position located in Vernon, CA.

ESSENTIAL JOB FUNCTIONS

• Receive and consolidate purchase orders from executives
• Sort purchase orders depending on the client to be delivered by different distributors
• Ensure proper documentation is provided for all promotions, credit memos and inventory/order returns
• Take in-house orders generated by the market sales manager and manage the entire placement process, this includes sorting them depending on the material to be delivered from CADI or DC
• Weekly bank reconciliations
• Accurate processing of accounts payable and expense reimbursements
• Address internal audit findings to ensure action plan is developed, approved and executed
• Develop and maintain a culture independent of the Sales Department which has a strong focus on fiduciary responsibilities and controls
• Gather client information, enter data into database and maintain database information on clients and distributors
• Oversee and monitor processes and procedures and elevate any issue to management which will impact financial results, the safety of the public or company employees, the law or company policy
• Review, analyze and report on periodic expenditures
• Prepare administrative statistical
• Immediately reports accidents or injuries to management
• Other duties as assigned

MINIMUM QUALIFICATIONS

• High School Diploma
• Two (2) years of related experience
• Valid Driver’s License and MVR which meets company driving standards for travel to perform foreign route inventories
• Fully fluent in English and Spanish

• Able to sit for a full shift of at least 8 hours
• Able to stand for at least 4 hours

ENVIRONMENTAL/WORKING CONDITIONS

• Able to work in a cold environment of approximately 34˚ F for prolonged periods of time.
• Availability to work weekends and evenings (until approximately 8:00 pm).
• Able to travel up to 90% of the time, including overnight stays for up to 5 days at a time.

PHYSICAL REQUIREMENTS

• Able to stand for a full shift of 8 - 10 hours.
• Can regularly lift and move 30 pound boxes/buckets on/off shelves or cart/hand-truck.
• Can repeatedly twist, turn, kneel, stoop, stand, rotate, bend, push or pull to move 30 pounds
