Job summary

HDR, Inc. in Irvine, CA is seeking an Administrative Project Coordinator to support document control, scheduling, and coordination across multiple project teams. You will format and file documents, assist with meetings and client interactions, and help ensure QA procedures are followed.

Qualifications

  • Associate degree in a closely related field or equivalent experience.

Responsibilities

  • Type, format and organize project documents, reports, specs and correspondence.
  • Create and maintain paper and electronic project files.
  • Assist with meetings, presentations and project reviews.
  • Coordinate cost estimating support and project invoices.
  • Monitor CMIS workflows and ensure accuracy.
  • Manage sub agreements and workshare arrangements.
  • Support with change management and JHA reporting.

In the role of Administrative Project Coordinator, we'll count on you to:

  • Type, format and organize project documents, reports, specifications and correspondence
  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Apply company quality assurance guidelines and procedures for project document management
  • Assist and help coordinate meetings and presentations
  • Schedule and moderate project reviews
  • Exhibit professionalism with clients
  • Work with multiple Project Managers and project teams as needed
  • Assist with project guides, project invoices and expense reports as needed
  • Establish workshare agreements
  • Develop and issue sub agreements
  • Support management with coordination of cost estimating
  • Job Hazard Analysis (JHA) reporting
  • Assisting with change management
  • Ensure accuracy and monitor workflows within Construction Management Information System (CMIS)
  • Perform other duties as needed

This position typically requires successfully passing drug-screening procedures prior to being hired; thereafter subject to random and cause drug and alcohol testing.

  • A minimum of 1 years related experience
