Job summary

PSD is seeking an Administrative Professional to provide comprehensive clerical support in a 12-month, full-time capacity within the Department of Student Affairs. The role requires strong MS Office and Google Suite skills, PowerSchool experience, and the ability to communicate effectively with staff, families, and visitors.

Ideal candidates will have a high school diploma with preference for an Associate’s Degree or higher, PA DOE certification, and intermediate ASL proficiency.

Qualifications

  • Requires a high school diploma; Associate’s Degree or beyond preferred.
  • Advanced skills in using Microsoft applications including Word, Excel, PowerPoint, and Outlook, as well as Google Suite.
  • Experience with PowerSchool is a plus.
  • Excellent verbal and written communication and presentation skills.
  • Certification from the Pennsylvania Department of Education required or eligible.
  • American Sign Language skills at intermediate level (advanced preferred).
  • Strong attention to detail and ability to multitask.
  • Excellent time management and organizational abilities.
  • Ability to operate general office equipment.
  • Strong interpersonal skills and ability to work independently and in a team.
  • Maintains confidentiality at all times.

Responsibilities

  • Coordinate calendars and schedule appointments.
  • Greet visitors and manage sign-in procedures.
  • Answer phone calls and relay messages as appropriate.
  • Email and correspond with staff and families.
  • Electronic and physical filing; maintain records and databases.
  • Process forms and related paperwork.
  • Print lesson plans as required.
  • Plan and assist with department events.
  • Distribute letters and other correspondence via mail/email.
  • Provide clerical support for various programs and departments.

Education

Associate’s Degree or higher
Pennsylvania Department of Education certification

Qualifications:

  • Advanced skills in using Microsoft applications including Word, Excel, PowerPoint, and Outlook, as well as Google Suite. Experience in PowerSchool is a plus.

  • Possession of or eligibility for appropriate certification from the Pennsylvania Department of Education.
  • Ability to communicate in American Sign Language – intermediate skill required; advanced skill desired.

  • Exceptional interpersonal skills.
  • Ability to work effectively both independently and as part of a team.

Duties:
  • Coordinate calendars/schedule appointments, meeting reminders.
  • Greets all incoming visitors and ensures that guests sign in/out as required.
  • Receive and refer telephone/VP call as appropriate
  • Email and formal correspondence to staff, families, etc.
  • E-filing and filing.
  • Maintains a variety of computerized and manual records, files, and department databases.
  • Process forms and related paperwork
  • Print out lesson plans
  • Planning department events.
  • Process and distribute (mail/email) letters and other correspondence
  • Provide clerical support for various programs and departments.
Requirements
Physical Requirements and Work Environment:
  • Occasionally lift up to 25 lbs.
  • Generally works in an office environment.
  • Ability to sit, stand, walk, kneel, crouch and reach with hands and arms
  • Some lifting, carrying, pushing, and/or pulling; some climbing and balancing; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. G
