Job Summary

The District is seeking qualified applicants for the position of Secretary to the Director of Student Services. This position provides confidential administrative support to the Director of Student Services and assists with the coordination and maintenance of records, communications and compliance activities related to special education, gifted education, student services and student accomodations.

Primary Responsibilities
  1. Provide administrative and clerical support to the Director of Student Services.
  2. Maintain confidential student records and documentation in accordance with federal and state regulations.
  3. Assist with compliance activities related to
    1. Chapter 14 (Special Education Services and Programs)
    2. Chapter 15 (Protected Handicapped Students)
    3. Chapter 16 (Gifted Education)
    4. Section 504 of the Rehabilitation Act
    5. Individuals with Disabilities Education Act (IDEA)
  4. Coordinate and schedule IEP, GIEP, Section 504, manifestation determination and other student services meetings.
  5. Prepare correspondence, reports, agendas, notices and compliance documentation.
  6. Track timelines and maintain records required for state and federal reporting.
  7. Serve as liaison among administrators, staff, families, outside agencies and service providers.
  8. Assist with tuition agreements, transportation requests and contracted service documentation.
  9. Process purchase orders, requisitions and budget-related records for the Student Services Department.
  10. Support data collection and reporting requirements for the Pennsylvania Department of Education.
  11. Maintain department calendars, schedules and filing systems.
  12. Perform other duties as assigned by the Supervisor or Superintendent.
Qualifications
  • High School diploma or equivalent required; associate degree or post‑secondary coursework in business, office administration or related field preferred.
  • Minimum three (3) years of secretarial or administrative support experience preferred.
  • Experience in a public school setting preferred.
  • Demonstrated proficiency with Microsoft Office Suite, Google Workspace, student information systems and database management.
  • Strong organizational, communication and customer service skills.
  • Ability to maintain confidentiality and manage sensitive student information.
  • Knowledge of Pennsylvania Department of Education reporting systems and special education processes preferred.
Knowledge, Skills and Abilities
  • Knowledge of modern office procedures and practices.
  • Strong organizational and time‑management skills.
  • Ability to prioritize competing responsibilities.
  • Ability to prepare accurate records and reports.Ability to maintain confidential information.
  • Strong customer service and interpersonal skills.
  • Ability to learn and utilize district software and technology systems.
  • Ability to work independently with minimal supervision.
