Job summary

Vylor, headquartered in Johnston, IA, is seeking an Administrative Operations Manager to lead our administrative team and enable seamless operations in a fast-paced biotech environment. You will partner with the VP of Biotechnology, manage calendars and expenses, oversee HR processes, and drive process improvements across the department, while contributing to our mission to advance crop science.

This role requires strong organization, discretion, and collaboration, with opportunities to mentor

Qualifications

  • At least four years in administrative roles or related fields.
  • Strong confidentiality and discretion.
  • Proficient with AI tools and MS Office.
  • Ability to manage multiple priorities and deadlines.

Responsibilities

  • Support VP of Biotech with calendar, travel, and expense processing.
  • Supervise administrative staff within the department.
  • Assist with department projects, events, and meetings.
  • Serve as HR process liaison (onboarding, payroll, time entry).
  • Prepare and proofread reports, spreadsheets, and presentations.
  • Develop and maintain department reports and files.
  • Coordinate leadership meetings and take minutes.
  • Oversee hiring processes for new or replacement roles.
  • Lead admin workstreams and improve processes.
  • Provide career development guidance and feedback.
  • Support company functions and committees as needed.

As an Administrative Operations Manager , you will use your experience and skills to perform complex administrative duties with minimal supervisionandprovideoversight and guidance toan administrative team.We offer a fast-paced, ever-changing environment where organization, resourcefulness, collaboration, and flexibility are of the utmost importance.

Responsibilities – What You Will Do:

  • Responsible for detailed and proactive support of the VP of Biotechnology – maintain calendar to ensure they are fully prepared for all meetings, events, and travel. Manage and process expense reports, budgets, and invoices.
  • Supervise and lead the work ofa team ofadministrative employees within the department.
  • Provide functional support to the Biotech Leadership Team and assist with planning and execution of department level projects, events, and meetings.
  • Serve as a key contact for Human Resources processes, which include position management, new hire orientation, document verification, payroll, and/or time entry, working with Administrative Coordinators across the department to execute these activities.
  • Compose and proofread correspondence, spreadsheets, presentations, reports, documents, etc.
  • Establish andmaintainappropriate reports, files, and other related document management, activities as needed.
  • Coordinate departmental and leadership meetings, as well as organize, take minutes, and distribute information from meetings.
  • Responsible for employment processes, such as coordinating the hiring process for new or replacement positions.
  • Accountable for the overall design of department administrative support workstreams and work processes.
  • Responsible forprovidingcareer development guidance, coaching, and addressing performance issues within the administrative team.
  • Expected to delegateaccurateinformation to support staff andassistwhen necessary.
  • Activelylead, participate,orassistwith company functions, committees, and teams.
  • Other duties as assigned

Requirements – What You Need:

  • You have a high school diploma.
  • Youpossessa minimum of four (4) years of administrative or related experience, such as project or program management, event planning, or similar work experience.
  • You have a strong ethical mindset and alwaysmaintainconfidentiality and discretion.
  • You are comfortable with technology andpossessan excellent computing aptitude including the use of Artificial Intelligence tools, Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, etc.) and other office productivity tools, and are willing and able to learn other company specific applications asrequired.
  • You have strong interpersonal skills that allow you to work independently, professionally, and collaboratively across the organization.
  • You are exceptionally well-organized and able to handle multiple priorities and deadlines with composure. You excel at effectively managing your time and resources to achieve consistent results.
  • You have high attention to detail and can multitask with precision.
  • Youpossessexcellent written, verbal, and interpersonal communication skills.
  • You can research, problem solve and make recommendations for solutions toissues.
  • You can plan, coordinate, delegate, and leverage a team to execute on large-scale projects.

Preferences – It Would Be Great If You Have:

  • Bachelor’s Degree in Business Administration, Communication, HR, Accounting, or related field.
  • PreviousexperienceutilizingWorkday, Concur, SAP, or other related programs.
  • Experience in team leadership, project management and event planning.
