Job summary

Vylor is seeking an Administrative Environmental Health and Safety (EHS) Coordinator at the Global Business Center in Johnston, IA. You will support EHS leadership and commercial delivery, managing calendars, travel, and communications while ensuring accurate admin processes and project support.

You will help organize materials, briefings, and meetings, coordinate events, and maintain shared documentation. This role requires discretion and strong organizational skills.

Qualifications

  • 1-3 years of administrative experience and/or related education.
  • Strong PowerPoint and presentation design skills.
  • Excellent organizational skills under pressure.
  • Ability to anticipate needs and act independently.
  • Strong communication and relationship-building abilities.
  • Discretion with confidential information and integrity.

Responsibilities

  • Manage complex calendars and prioritize requests for executives.
  • Coordinate domestic and international travel itineraries.
  • Handle executive communications with senior leaders and partners.
  • Prepare materials, briefings, and presentations for meetings.
  • Organize meetings, events, and engagement activities onsite/offsite.
  • Track expenses and manage reports with discretion.
  • Capture notes and manage action items across teams.
  • Support EHS administrative duties and documentation.
  • Provide onboarding and orientation support in Johnston.

Vylor has an exciting opportunity for an Administrative Environmental Health and Safety (EHS) Coordinator to join our company at our Global Business Center in Johnston IA.

This role supports both EHS Leadership and Commercial delivery by managing schedules, anticipating needs, completing EHS administrative responsibilities, and maintaining seamless daily operations. By leveraging your proactive problem‑solving skills, attention to detail, and ability to thrive in a fast‑paced environment, you will contribute to a high‑performing workplace focused on delivering quality seed products and exceptional service.

What You’ll Do
  • Manage complex, dynamic calendars—prioritizing requests and proactively optimizing the executive’s time
  • Coordinate domestic and international travel, including frequently changing itineraries
  • Handle executive communications and interface with senior leaders, external partners, and peers
  • Manage global EHS distribution lists
  • Prepare and organize materials, briefings, and presentations to ensure meeting readiness
  • Plan and execute meetings, events, and customer engagements (onsite and offsite)
  • Track expenses and manage reports with accuracy and discretion
  • Capture meeting notes, manage action items, and maintain shared documentation
  • Serve as a key connector across technology, HR, facilities, and other enterprise resources
  • Support ad hoc projects aligned with Seed Operations priorities
  • Ensure all administrative work processes and flows are accurate and effective
  • Support compliance with activities and obligations
  • Provide direct support for Commercial data entry and event recording.
  • Administer / Deliver Commercial New Hire Orientation classes in Johnston.
  • Manage purchasing, accounts payable, and receivable activities
  • Perform additional responsibilities as assigned.
Education
  • High School Diploma or GED with relevant knowledge and experience
What Skills You Need
  • 1-3 years of relevant administrative experience and/or related education
  • Advanced skills in executive presentations and visual representation of complex topics (PowerPoint)
  • Exceptional organizational skills and attention to detail in high‑pressure environments
  • Proven ability to anticipate needs, exercise sound judgment, and act independently
  • Strong communication and relationship‑building skills
  • High degree of integrity and discretion with confidential information
  • Advanced Microsoft Office skills and ability to learn new systems and collaboration tools
  • Proactive, adaptable mindset with a positive, solution‑oriented approach
  • Flexibility to work extended hours, including weekends when needed.
What Makes You Stand Out
  • Experience managing executive communications and support
  • Understanding or past support of EHS or familiarity with EHS regulatory and or internal documentations.
  • Degree in Business Administration, Office Management or other relevant field
