Administrative Event Planner

Night Shift Entertainment is seeking a highly organized, proactive, and client-focused Administrative Event Planner to support our team and clients through the planning and execution of luxury weddings and private events. This fully remote role is ideal for someone with a background in event coordination, client services, or wedding planning, and who thrives in a fast-paced, deadline-driven environment.

Responsibilities:

  • Serve as the primary point of contact for clients throughout the planning journey — from initial booking through post-event follow-up
  • Coordinate with musicians, internal departments, and external vendors to ensure all event logistics are seamless
  • Lead virtual planning meetings with clients and gather key event details to create accurate timelines and musician briefings
  • Prepare detailed gig sheets, manage client contracts, and maintain internal planning documents
  • Attend weekly virtual production meetings to review past and upcoming events
  • Support travel logistics, scheduling, and administrative tasks for bands and performers

Qualifications:

  • 2+ years of experience in event planning, wedding coordination, or administrative support
  • Excellent written and verbal communication skills
  • Strong customer service, project management, and multi-tasking abilities
  • Tech-savvy, self-motivated, and comfortable working independently in a remote setting
  • Passion for live events, organization, and client experience
  • Fully remote
