Job summary

Florida Humanities in Saint Petersburg seeks an Administrative & Development Program Associate to support donor stewardship, data management, board administration, and statewide public programs. Qualifications

  • Proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
  • Experience with Raiser's Edge, QuickBooks, or similar CRM and accounting software preferred.

Responsibilities

  • Enter and maintain donor, program, event, and participant data with high accuracy.
  • Coordinate logistics for public programs, donor events, workshops, and meetings.
  • Process charitable contributions and maintain donor records in Raiser's Edge; prepare acknowledgements and donor communications.
  • Serve as administrative liaison to the Board of Directors and committees; prepare agendas and minutes.
  • Provide front-desk and office support, handle mail, scheduling, and general administrative tasks.

Job description

Position Summary

The Administrative & Development Program Associate provides administrative, operational, and development support to Florida Humanities. This position plays a key role in supporting donor stewardship, constituent data management, board administration, and statewide public programs. Working collaboratively with the Executive Director, Associate Director, and Programs Manager, the Associate ensures the efficient coordination of fundraising activities, board operations, program logistics, and office administration while delivering exceptional service to donors, board members, partners, and the public.

Primary Responsibilities
Constituent Data Management
  • Enter and maintain donor, program, event, and participant information with a high level of accuracy.
  • Compile participant surveys and program evaluation data.
  • Generate reports and assist with maintaining the integrity of organizational databases.
Program & Event Support
  • Coordinate logistics for public programs, donor events, workshops, and meetings.
  • Manage registrations, event materials, mailings, and participant communications.
  • Assist with on-site event support and post-program evaluations.
Development & Donor Relations

Process charitable contributions and maintain accurate donor records in Raiser's Edge.

  • Prepare timely gift acknowledgements, thank-you letters, renewal notices, and donor correspondence.
  • Assist with annual appeals, fundraising campaigns, donor stewardship activities, and donor reporting.
  • Track donor interactions, maintain contact records, and support prospect management.
  • Coordinate weekly deposits and process contributions through QuickBooks and Raiser's Edge.
Board Administration

Serve as the administrative liaison to the Board of Directors and Board committees.

  • Coordinate Board meeting logistics, prepare agendas and meeting materials, maintain Board records, and prepare meeting minutes.
  • Assist with Board communications and governance documentation.
Office Administration
  • Serve as a primary point of contact for visitors, donors, and partners.
  • Coordinate office mail, supplies, scheduling, filing, and general administrative support.
  • Assist with special projects and other organizational initiatives as assigned.
Qualifications
