Job description

Administrative Coordinator – Libraries Logistics Team

The position provides administrative support to the Libraries Logistics Team for project scheduling, procurement of furnishings, fixtures, and equipment, and coordination of library capital and replacement projects. It serves as a vital communication link for project planning, vendor management, warranty tracking, and minimizing disruptions to public service operations.

Responsibilities
  • Support project scheduling and procurement for library operations.
  • Assist in preparing contract documents for large procurements.
  • Communicate with vendors, suppliers, and internal staff to ensure specifications are met.
  • Manage warranty records, track useful life and replacement schedules, and resolve warranty concerns.
  • Coordinate vendor access to library locations to minimize disruption to public services.
  • Develop productive vendor relationships, draft library layouts, and provide excellent internal and external customer service.
  • Coordinate business operations functions and oversee clerical staff when assigned.
  • Assist in developing project procedures, schedules, and preparing project reports.
  • Maintain project records and documentation and facilitate work completion.
  • Act as liaison among County operational and administrative functions, interpreting policy regulations and operating procedures.
Minimum Education and Experience

Associate degree from an accredited college or university in business, public administration, or a closely related field. One year of relevant experience may substitute for each year of required education. Preferences
  • Bachelor’s Degree or higher (Business Administration or related field)
  • Microsoft Office Certified
  • Certified Agency Buyer (CAB)
  • Certified Procurement Professional Certificate (CPP)
  • Four (4) years of public procurement experience
  • Four (4) years of experience using Microsoft Office
  • Two (2) years of project coordination experience
  • Two (2) years working knowledge of AutoCAD
  • Two (2) years working knowledge of Database setup
  • One (1) year of knowledge of Adobe Photoshop/Illustrator
