The Katz School of Medicine seeks an Administrative Coordinator. As the Administrative Coordinator, you will provide comprehensive administrative support to ensure the smooth operation of the Dean's office. Your responsibilities will include managing schedules, coordinating meetings, handling correspondence, and assisting with special projects. You will act as the primary point of contact in the EA's absence, ensuring continuity and efficiency in all administrative tasks. Additionally, you will maintain an efficient receptionist area in the Dean’s Suite and provide day-to-day support for the administrative operations of the Dean’s office. You will regularly work with a wide array of university-wide constituents while handling confidential information. You will also provide administrative support for the Associate Vice Dean for Strategic Initiatives.

Required Education & Experience:

Bachelor’s degree and at least one year of directly related experience. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:
  1. Proven experience in an administrative or support role, preferably in an academic or professional setting.
  2. Excellent organizational and time-management skills, with the ability to juggle multiple projects and drive toward deadlines.
  3. Strong written and verbal communication abilities.
  4. Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and other relevant software applications and video conferencing platforms (e.g. Zoom).
  5. Ability to handle sensitive information with discretion and maintain confidentiality.
  6. Strong interpersonal skills and the ability to work effectively with diverse stakeholders.
  7. Willingness and ability to work extended hours, including some weekends.
  8. Ability to thrive in a fast-paced environment.
  9. Superior attention to detail and strong customer-service orientation.
  10. Maturity, professionalism, poise, and excellent judgment.
  11. Open to feedback and professional development.
  12. Integrity and respect for confidential information.
