Job summary

Kiewit Building Group in Omaha, NE is seeking an entry-level Administrative Assistant to support senior leaders and maintain a smooth office workflow.

You will coordinate expense reports, greet visitors, schedule meetings, manage mail, and assist with conferences and events. The role requires a high school diploma, proficiency in Microsoft Office, strong communication, and the ability to handle confidential information while meeting deadlines.

Qualifications

  • 3+ years' applicable administrative office support experience, preferably in Construction, Engineering, OR EPC environment.
  • High school diploma or general education degree (GED) minimum.
  • Proficient in Microsoft Office products, including Word, Excel, and PowerPoint. SharePoint knowledge is a plus.
  • Must be positive and proactive, with the ability to maintain strict confidentiality.
  • Experience planning meetings in a fast-paced environment.
  • Highly motivated, with a demonstrated passion for excellence and taking initiative.
  • Demonstrated commitment to ethics and integrity.
  • Strong interpersonal, written, and verbal communication skills.
  • Team player with the ability to work independently to meet deadlines, goals, and objectives.
  • Strong organization, time management, and attention to detail.

Responsibilities

  • Coordinate and process expense reports for senior leadership.
  • Greet visitors, organize and arrange meetings, schedule conference rooms, and set up catering.
  • Prepare outgoing mail and correspondence, including e-mails and shipments.
  • Support the coordination for conferences and events (secure meeting location, hotel contracts, arrange for catering, and purchase prizes).
  • Support onboarding and new employee communications, including new hire announcements, weekly welcome emails, I9 verifications, and new hire office set-up.
  • Oversee distribution lists and internal communications groups, including maintenance of all-staff and location-specific lists.
  • Maintain employee-related records and reporting, including employee rosters, vehicle rosters, and other administrative reporting support.
  • Actively participate in the building Safety Lead Committee.
  • Provide administrative office support, including business card orders, contractor licensing documentation, supply orders, and client gift orders.

District Overview

Kiewit Building Group specializes in constructing office buildings, industrial complexes, education and sports facilities, hotels, hospitals, transportation terminals, science and technology facilities, manufacturing, retail and special-use facilities, and extensive interior construction with tenant improvements. Its capabilities include general construction, construction management, design-build, design-assist, and turn-key project development. Kiewit also provides fast, accurate preconstruction project management services.

This position is based out of our headquarters in Omaha, NE.
