The African Department (AFR) of the International Monetary Fund (IMF) invites applications for an Administrative Coordinator to support the Front Office’s administrative and organizational tasks under the guidance of the Office Manager and Front Office reviewers.

Key duties include document management, coordinating meetings and events, arranging travel, handling expense reports, and monitoring workflow to meet deadlines. This is a 3-year term appointment in accordance with IMF rules.

Qualifications

Responsibilities

  • Document management: prepare country-related briefs and memos with IMF style; route documents for review.
  • Organize meetings, seminars, and conferences with scheduling, logistics, and speaker liaison.
  • Manage travel arrangements and process expense reports for division staff.
  • Oversee AFR's Review Box, track action items and deadlines, support departmental processes.
  • Support department-wide initiatives as needed.

Typically Reports to: Office Manager, Front Office staff The African Department (AFR) is looking for a motivated Administrative Coordinator to assist in the administrative and organizational work in our Front Office. The Administrative Coordinator will play a pivotal role in providing support to the front office's staff under the guidance of the Office Manager and the Front Office Reviewers; and will work closely with the other coordinators.

The responsibilities will include:
  • Document Management: Assist with preparation of country-related documents, briefs and memos with precision, ensuring adherence to Fund style and formatting guidelines. Transmit documents to review Departments, Management, and the Board.
  • Meeting and Events: Organize meetings, seminars, workshops, and/or conferences, including planning, material production, scheduling, logistical arrangements, and liaising with participants and speakers. Initiate social gatherings in the division to foster team building and cohesion.
  • Logistical Support: Manage travel arrangements for division members. Handle expense reports.
  • Workflow Management: Managing AFR’s Review Box. Disseminating action items, tracking responses and following up on deadlines. Assisting with administrative processes within the division. Monitor the busy work agenda, action items, and shifting priorities and ensure deadlines are met.
  • Department-Wide Initiatives: Occasionally contribute to and support department-wide initiatives.
Qualifications

Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of four (4) years of relevant experience, is required.

  • Technical Proficiency: Proficient in Word, compound documents, Excel, Microsoft Teams and various software applications. Familiarity with PeopleSoft, DARTS, TIMS, DM5, and Fund practices and procedures.
  • Administrative Skills: Strong administrative, technological, and organizational capabilities. Ability to work accurately under pressure, and multitask.
  • Flexibility and Availability: Flexibility with working hours and readiness for overtime.
  • Languages: Proficiency in English.

This vacancy shall be filled by a 3-year Term appointment in accordance with the Fund’s new employment rules that took effect on May 1, 2015. This position requires Review Committee/Senior Review Committee Approval.

Only candidates who are currently residing in the Washington DC metro area will be considered. Only candidates that have passed the IMF Staff Assistant online exam in the past 12 months will be considered.
