Job summary

The Legacy Center at Drexel University, located on the Queen Lane Campus in Philadelphia, seeks an Administrative Coordinator to support daily operations and greet internal staff and external visitors.

Responsibilities include managing office routines, tracking spending, preparing reports, coordinating meetings and events, and assisting with temporary staff and travel reimbursements. Salary is $18.89–$28.33 per hour; non-exempt with opportunities for growth.

Qualifications

  • Minimum of an Associate's Degree or the equivalent combination of education and work experience.
  • Minimum of 1 year of experience.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to work well with all levels of internal management and staff, and external visitors.

Responsibilities

  • Manage daily office routines including handling internal/external communications, monitoring supplies, maintaining the office calendar, preparing reports, and executing special projects.
  • Track departmental spending, reconcile purchasing card statements, and handle transactions with approved vendors.
  • Assist with financial procedures, generate financial reports, and maintain bookkeeping.
  • Arrange meetings and provide support for events; arrange catering for internal events; assist visitors with lodging and transportation.
  • Support collections management and research use including basic inventorying and responding to basic reference requests.
  • Assist with administration of Temporary workers and work-study students.
  • Arrange staff travel and prepare travel expense reports.

Job Summary

The Legacy Center stewards the history of the health sciences at Drexel University, with a focus on women in medicine, supporting internal and external researchers, programming, and collections managementThe Administrative Coordinator (AC) provides support ensuring efficient operation of the department administrative needs. The AC is the initial point of contact for the Legacy Center, interacting with internal staff, and external users and visitors.

Essential Functions
  • Manage daily office routines including but not limited to handling initial internal and external communications, monitoring and re-ordering supplies, maintaining the office calendar, preparing reports, and executing special projects as assigned.
  • Track departmental spending, reconciling purchasing card statements, and handle transactions with approved vendors.
  • Assist with financial procedures, generate financial reports, and maintain necessary bookkeeping.
  • Arrange meetings and provide support for physical and virtual events; arrange catering needs for internal events; provide general assistance to visitors with lodging and transportation issues.
  • Support collections management and research use including basic inventorying and responding to basic reference requests.
  • Assist with administration of Temporary workers and work-study students.
  • Arrange for staff travel and prepare and submit travel expense reports.
  • Other duties as assigned
Required Qualifications
