Qualifications

  • Minimum 3 years of administrative coordination, project coordination, operations support, or program administration experience.
  • Experience supporting government, healthcare, Medicaid, compliance, or provider enrollment programs preferred.
  • Experience working in a remote environment preferred.
  • Experience with quality assurance processes and performance monitoring is a plus.

Responsibilities

  • Coordinate daily administrative operations, including: record creation and maintenance, scheduling activities, document uploads, photo uploads and verification.
  • Ensure all required checklists and supporting documentation are uploaded accurately and within established timelines.
  • Monitor and track project deliverables to ensure compliance with ODM requirements.
  • Assist with protocol updates and operational process improvements.
  • Support communication efforts with the Ohio Department of Medicaid.
  • Assist with escalated provider inquiries and issue resolution.
  • Manage Careify application testing, maintenance, and system updates.
  • Generate daily, weekly, and monthly operational reports and performance metrics.
  • Track and coordinate the Notice of Deficiency (NOD) process.
  • Support special projects and departmental initiatives as assigned.
  • Collaborate with leadership and support teams to improve operational effectiveness and service delivery.
  • Help develop, implement, and maintain standardized policies, procedures, and workflows.
  • Identify opportunities for process improvement and operational efficiencies.
  • Partner with Health System Development (HSD) teams on Careify enhancements and Ohio project initiatives.
  • Participate in recurring project meetings and scrum sessions to support project success.
  • Monitor daily workflows to maximize productivity, efficiency, and overall project performance.
  • Support scheduling and coordination of project resources and staff.
  • Assist with staff coaching, training, cross-training, and performance monitoring.
  • Work closely with Quality Assurance teams to support: user guide development, resource page updates, new employee onboarding, process documentation maintenance.
  • Ensure operational support materials remain current, accurate, and aligned with program requirements.
  • Track, analyze, and communicate project trends and operational performance metrics.
  • Identify and elevate systematic issues, risks, and opportunities for improvement.
  • Deliver qualitative and quantitative reporting to management and project stakeholders.
  • Monitor compliance with established quality, reliability, usability, and performance standards.
  • Build positive partnerships with internal staff, leadership, providers, and external stakeholders.
  • Respond to provider enrollment and management inquiries and communicate relevant issues to ODM.
  • Maintain exceptional customer service while supporting provider needs.

Administrative Coordinator

Location: Remote
Employment Type: Full‑Time

Pay Rate: $27.50 per hour

Position Overview

The Administrative Coordinator plays a critical role in supporting the day-to-day operations of Ohio Medicaid provider enrollment and compliance projects. This position is responsible for coordinating administrative processes, managing project documentation, supporting system operations, monitoring performance metrics, and serving as a key liaison between internal teams and external stakeholders, including the Ohio Department of Medicaid (ODM).

The ideal candidate is highly organized, detail-oriented, technology-savvy, and capable of managing multiple priorities in a fast-paced remote environment. This role requires strong communication, problem-solving, and operational leadership skills to ensure project goals, quality standards, and service expectations are consistently met.

Key Responsibilities
Project & Administrative Operations
  • Coordinate daily administrative operations, including:
    • Record creation and maintenance
    • Scheduling activities
    • Document uploads
    • Photo uploads and verification

Required Qualifications
Education

Compensation for roles at Staffing Solutions Organization LLC (SSO) varies depending on a wide array of factors including, but not limited to, the specific office location, role, skill set, and level of experience. As required by applicable law, SSO provides a reasonable range of compensation for this role. In addition, SSO provides a range of benefits for this role.
