Job summary

Impact Support Services is seeking an Administrative Coordinator to provide clerical and administrative support to the Human Resources team. You will help maintain employee files, process HR paperwork, and assist with onboarding and recruitment activities.

The role requires strong organization, discretion, and the ability to handle confidential information while delivering professional service to employees and managers alike.

Qualifications

  • High school diploma or GED.
  • BA/BS preferred.
  • 1-2 years' experience in office administration and Microsoft Office.
  • Previous Human Resources experience is helpful but not required.
  • Ability to learn HR software and other computer systems.
  • Ability to maintain accurate records and pay close attention to detail.
  • Strong organizational and time-management skills.
  • Ability to communicate professionally both verbally and in writing.
  • Ability to handle confidential and sensitive information appropriately.
  • Ability to work independently and as part of a team.

Responsibilities

  • Provide general clerical and administrative support to the Human Resources department.
  • Maintain accurate and organized employee personnel files and HR records.
  • Assist with filing, scanning, copying, data entry, and document preparation.
  • Assist with processing new-hire, employee change, and separation paperwork.
  • Support the onboarding process by preparing documents and ensuring required forms are completed.
  • Assist with scheduling interviews, meetings, orientations, and other HR activities.
  • Assist with recruitment activities, including reviewing applications for completeness and communicating routine information to applicants.
  • Enter and update employee information in the HR information system (HRIS).
  • Assist with tracking required employee documents, licenses, certifications, training records, and other HR documentation.
  • Respond to routine employee questions and direct employees to the appropriate HR team member when necessary.
  • Prepare routine correspondence, forms, reports, and other HR documents.
  • Maintain confidentiality of employee, applicant, and organizational information.
  • Provide professional customer service to employees, applicants, managers, and visitors.
  • Assist with special HR projects and other administrative duties as assigned.
