  • Coordinate facilities, equipment, office operations, inventory, and confidential records.
  • Utilize university systems to coordinate enrollment, purchasing, travel, scheduling, and operations; learn new systems quickly.
  • Serve as the primary contact for students, alumni, employers, faculty, staff, and visitors with a welcoming, service-oriented approach.
  • Coordinate departmental communications via website, calendars, newsletters, forms, and social media; assist with events and recruitment.
  • Build collaborative relationships across department and university with initiative and problem-solving.
  • Perform other duties and maintain regular attendance.

Position Function

Coordinate the daily administrative and operational functions of the Department of Marketing and the Center for Professional Selling. Working closely with the Department Chair, faculty, staff, students, and external partners, this position develops and coordinates administrative systems, supports implementation of departmental priorities, and fosters a welcoming, collaborative, and student-centered environment that advances departmental, college, and university goals.

Duties & Responsibilities
  1. Coordinate daily administrative and operational functions of the department; partner with the Department Chair to anticipate administrative needs, support implementation of departmental priorities, coordinate projects, improve processes, and maintain efficient departmental operations.
  2. Maintain, monitor, reconcile, and coordinate departmental budgets, purchasing, travel, Foundation accounts, procurement, and financial processes; recommend purchases, monitor expenditures, verify receipt of goods, and ensure compliance with university policies.
  3. Work with Chair to recruit, hire, train, supervise, schedule, and support graduate assistants and student employees; coordinate work assignments, approve time, monitor payroll, provide coaching and professional development, and foster a collaborative team environment.
  4. Coordinate departmental facilities, equipment, office operations, inventory, and confidential records; serve as liaison with university support offices to resolve operational needs.
  5. Utilize university systems and technologies to coordinate enrollment, purchasing, travel, scheduling, and departmental operations; demonstrate the ability to quickly learn new systems and identify opportunities to improve efficiency.
  6. Serve as the primary point of contact for prospective students, current students, alumni, employers, faculty, staff, and visitors by creating a welcoming, responsive, and service-oriented environment; communicate effectively, resolve problems, and connect individuals with appropriate resources.
  7. Coordinate departmental communications by maintaining the department website, calendars, shared resources, newsletters, forms, and other communication tools; contribute to social media, recruitment, event planning, and promotional initiatives based on departmental needs and individual strengths.
  8. Build collaborative relationships across the department and university; work effectively with diverse stakeholders while demonstrating initiative, sound judgment, creative problem solving, and a commitment to continuous improvement.
  9. Perform other related duties as assigned and maintain regular and predictable attendance.
Minimum Qualifications
  • Experience in office administration, management, or customer service.
  • Demonstrated ability to coordinate multiple priorities, communicate effectively with various audiences, and work collaboratively in a team environment.
  • Ability to quickly learn new technologies, software applications, and university systems.
  • Strong organizational, interpersonal, written, and verbal communication skills.
Preferred Qualifications
  • Bachelor's degree from an accredited institution.
  • Experience in higher education or an academic office.
  • Experience supervising graduate assistants, student employees, interns, or similar staff.
  • Experience coordinating events, communications, websites, or social media.
