Job summary

BCforward is seeking an Administrative Business Partner to oversee the full interview lifecycle, coordinate onboarding, and support administrative operations. The role emphasizes strong Google Workspace and Microsoft Office skills, calendar management, and hosting external candidates for a professional experience.

The candidate will coordinate travel, prep interview materials, and liaise with Genentech stakeholders.

Qualifications

  • 3-5 years of administrative, operations, or project support experience; pharmaceutical or biotechnology experience preferred.
  • Proficiency in Google Workspace tools, including Gmail, Calendar, Sheets, Slides, Meet, and collaboration tools such as Trello and Jamboard.
  • In-depth knowledge of Microsoft Office, including PowerPoint, Excel, and Word.
  • Ability to manage complex calendars and scheduling across internal and external stakeholders, onsite and virtual.
  • Proficiency with meeting technologies and platforms, including in-room AV, Google Meet, Zoom, and global webcasts.
  • Ability to handle routine and impromptu assignments with minimal supervision and exercise sound judgment with confidential information.
  • Demonstrated accuracy and attention to detail and commitment to team collaboration and shared decision-making.
  • Familiarity with Genentech organization and internal systems such as cSuite and virtual conference tools preferred.
  • High school diploma or equivalent industry experience preferred.

Responsibilities

  • Manage interview scheduling, including panel coordination, calendars, and post-interview feedback sessions.
  • Coordinate candidate travel logistics and prepare interview materials in advance.
  • Serve as the onsite point of contact to welcome and host external candidates, ensuring a professional experience.
  • Schedule and support external candidate interviews and manage communications with internal and external stakeholders.
  • Lead coordination and execution of small internal meetings and team off-sites or on-sites without overnight stays.
  • Support department-wide meetings and town halls, including agenda creation, material distribution, catering, and room setup.
  • Ensure attendee readiness for meetings, including AV connections and platform access for Google Meet and Zoom.
  • Draft and send communications on behalf of leaders and manage day-to-day team operations messaging and policy updates.
  • Plan and coordinate team huddles and small community-driven events and ensure employee milestone recognition per guidelines.
  • Act as a professional liaison between the team and Genentech stakeholders.
  • Submit facilities, IT, and site service requests and manage office logistics, supplies, shipping, and receiving.
  • Manage purchase orders, invoices, payment tracking, and vendor maintenance.
  • Facilitate new hire onboarding, coordinate site access, and distribute IT equipment to ensure day-one readiness.
  • Support front desk reception, guest welcoming, and general office administration.
