Job Summary
The part-time Administrative Associate’s responsibilities include, but are not limited to, performing administrative and office support activities for the Development & Foundation department; including, but not limited to, providing information to visitors, students, faculty and staff; routes and helps to manage incoming requests; and processes and tracks department purchases. This is a part-time position and is considered non-exempt.
Duties/Responsibilities
- Fields incoming department telephone calls and screens, routes and prioritizes accordingly and serves as the department receptionist
- Creates documents and spreadsheets, including, but not limited to, department purchases & billing statements for approval; tracking P.O. numbers and corresponding budgets; and travel/expense documents, etc.
- Handles all purchasing requests and P.O. creation and follows-through with approval process
- Assists in entering donations received to the college and sending correspondence to the donors
- Assists in the request and approval process of department contract agreements and monitors terms accordingly
- Assists with fundraising event preparation and day of event activities
- Organize and maintain of office supplies
- Maintains and processes travel requests
- Sorts department mail and maintains department emergency contact list
- Assists with entry-level/basic departmental calls and requests (when needed)
- Schedules and prepares for department meetings
- May assist with departmental recruiting and hiring activities
- File, fax and scan documents and records
- Other duties as assigned
Minimum Qualifications:
- 1-3 years of experience working in an office environment
- Skilled in using Microsoft Office (Word, Excel, etc.)
- Strong customer service and detail-oriented skills with excellent follow-up
- Must be highly organized and able to maintain deadlines for self and others
- High school diploma or GED is required
- Occasional evening and weekend hours
- Travel as required
Preferred Qualifications:
- Post-secondary education in business or Marketing/Event planning-related field
- Work experience in a higher education institution

Physical Requirements:
This position requires the ability to: remain in a stationary position for most of the time; occasionally move about inside an office to access documents, office equipment, etc.; constantly operate a computer or other office equipment, such as a printer or copy machine.
