Job summary

FHI 360 is seeking an Administrative Associate II within the Strategy and Resource Mobilization (SRM) operating group. The role provides administrative, operational, and project coordination support to the SRM team, including the Senior Vice President and reports to the Associate Director, SRM Operations.

The position involves meeting planning, travel support, data and knowledge management, onboarding, and cross-functional collaboration across the organization.

  • Provides administrative support to SRM leadership including scheduling meetings and organizing travel and expenses.
  • Maintains trackers and documents timelines and follow-ups for SRM operational processes.
  • Compiles and quality-checks data for SRM reports, presentations, dashboards, and leadership updates.
  • Maintains SRM knowledge management systems including SharePoint channels and templates.
  • Supports SRM internal communications via distribution lists, Teams/SharePoint channels, calendars and announcements.
  • Owns the SRM onboarding process for new employees.
  • Fulfills other administrative and special project duties as assigned.
  • Provides surge support for SRM as needed.

Job Summary

The Strategy and Resource Mobilization (SRM) operating group is FHI 360's hub for strategic growth and resource mobilization. The Administrative Associate II role is located within the SRM Operations team, which is tasked with ensuring efficient, high-quality operations within SRM and with key stakeholders across the organization. This generalist role provides a range of administrative, operational, and project coordination support to the SRM team, including the Senior Vice President, SRM, and reports to the Associate Director, SRM Operations.

Accountabilities
  • Collaborates with the Associate Director, SRM Operations, to assist in ensuring team needs and requirements are met.
  • Processes consultant agreements and manages associated invoices.
  • Provides administrative support to SRM leadership team members, including planning for and arranging meetings and conference room setup, team scheduling, supporting limited travel needs, and preparing or processing expenses.
  • Supports SRM operational processes by maintaining trackers, documenting timelines and follow-ups.
  • Compiles, formats, and quality-checks existing information, metrics, and data for use in SRM reports, presentations, dashboards, and leadership updates.
  • Maintains SRM knowledge management systems, including SharePoint channels, shared folders, templates, team records, onboarding materials, and version-controlled documents.
  • Supports SRM internal communications by maintaining team distribution lists, Teams/SharePoint channels, calendars, announcements, and other routine communications tools,
  • Owns the SRM onboarding process for new employees.
  • Fulfills other administrative and special project duties as assigned.
  • Provides as‑needed administrative surge support for SRM, as time allows.

  • Works under the supervision of an Associate Director.
  • General supervision and instructions given for routine work, with expectations for independent work over time, and detailed instructions with periodic work review given for new activities or special assignments.
Education
  • Associates Degree or International Equivalent in Business Administration or Related Field.
  • Bachelor's Degree preferred.
Experience
  • Typically requires a minimum of 3+ years of relevant experience supporting team operations.
  • Experience in a matrixed environment a plus

The expected US‑based hiring salary range for this role is listed below. FHI 360 pay ranges represent national averages that vary by geographic location. When determining an offer amount, FHI 360 factors in multiple considerations, including but not limited to: relevant years of experience and education possessed by the applicant, internal equity, business sector, and budget. For internal candidates, salary placement will also follow FHI 360's current promotional increase guidelines.

Base salary is only one component of our offer. FHI 360 contributes 7% of monthly base pay to a money purchase pension plan account. Additionally, all US based staff working full‑time, which is calculated at 40 hours/week, receive 18 days of paid vacation per year, 12 sick days per year, and 11 holidays per year. Paid time off is reduced pro rata for employees working less than a full‑time schedule.

US‑based hiring salary range: USD 50,000 - 60,000 annually

International hiring ranges will differ based on location
