Position Overview:
We are seeking an Administrative Assistant to join our home care team. In this role, you will assist with scheduling appointments, onboarding tasks, receptionist duties, and various administrative responsibilities. This position provides essential support to the Director.

Key Responsibilities:
  1. Schedule appointments and manage calendars.
  2. Assist with onboarding tasks for new employees.
  3. Handle receptionist duties, including answering phones and greeting visitors.
  4. Provide administrative support to the Director.
  5. Maintain accurate records and databases.
  6. Perform routine and varied clerical duties to support general and specific office/reception activities.
  7. Answer phones professionally, screen and route calls to the appropriate person, or take messages as needed.
  8. Provide general support to visitors, ensuring a welcoming environment.
  9. Reach out to candidates via phone and email, following up with regular communication.
  10. Collect phone screening information from applicants and schedule appointments.
  11. Maintain a network of contacts and potential candidates.
  12. Manage employee and applicant database systems efficiently.
  13. Write and distribute emails, memos, letters, surveys, and meeting minutes.
  14. Assist with filing, faxing, scanning, and making copies.
  15. Coordinate and attend meetings, training sessions, employee events, seminars, career fairs, conferences, and workshops as required.
  16. Provide general administrative support and assist the Director with various tasks.
  17. Perform general office errands as needed.
  18. Prepare meeting and training rooms for use.
  19. Deliver excellent customer service to all stakeholders.
Qualifications:
  1. Associate's degree in Business Administration or a related field, or at least one year of relevant experience as an Administrative Assistant or in a similar role.
  2. Previous experience in an administrative assistant or related position.
  3. Knowledge of Applicant Tracking Systems (ATS) preferred.
  4. Strong communication (written and verbal) and organizational skills.
  5. Excellent time management skills with the ability to organize and prioritize daily workloads.
  6. Proficient computer skills (MS Office, Typing).
  7. Must present a professional appearance and demeanor.
  8. Desire to be proactive and create a positive experience for others.
  9. Attention to detail.
  10. Ability to work well under limited supervision.
  11. Must have own transportation, valid motor vehicle insurance, and valid Driver's License.
  12. Pass a criminal background check.
  13. Pass drug screening.
  14. Fully vaccinated against COVID-19.
  15. Able to perform a combination of sitting and standing.
  16. Able to lift, push, or pull loads up to 35 lbs.
  17. Caring attitude and genuine interest in people.
