Administrative Assistant/Scheduler

Position Overview:
We are seeking a Part-Time Administrative Assistant/Scheduler to support our office operations and assist the Agency Director. This role involves clerical duties, scheduling, and providing excellent customer service.

Key Responsibilities:

  1. Perform clerical duties supporting office and reception activities.
  2. Collect phone screening information and schedule appointments.
  3. Answer phones professionally, screen calls, route them, or take messages; support visitors.
  4. Communicate regularly with candidates via phone and email.
  5. Write and distribute emails, memos, letters, surveys, and meeting minutes.
  6. Assist with filing, faxing, scanning, and copying.
  7. Coordinate and attend meetings, training sessions, and events as needed.
  8. Perform general office errands.
  9. Greet and direct visitors; prepare meeting and training rooms, ensuring cleanliness.
  10. Collect applications and employee paperwork.
  11. Assist with checking employee references.

Qualifications:

  • High school diploma and relevant experience; an associate degree may substitute experience.
  • Strong communication and organizational skills.
  • Proficiency in Microsoft Office Suite and database management.
  • Ability to maintain confidentiality and deliver excellent customer service.
Compensation: $13.00 - $15.00 per hour
